General Site Procedures

  • Have you signed into store?

  • Have you made store management aware of your attendance and purpose of your visit?

  • Are any permits required for this visit and also for the replacement of AHU fan motors?

  • Has the store management received and reviewed RAMS (Risk Assessments and Method Statements) for works to be conducted?

  • Are any keys required to access location of the AHU motors? If so, please provide details (amount, location and images of these).

Parking

  • Does the store allow engineers to park in loading bay whilst working on site?

  • If no, please ask store for their parking procedures for engineers and document details.

  • Are there any issues with parking area with regard to offloading motors for their replacement? Security issues, gradient, high traffic, excessive rubbish, parked cars, slippery surface, please document all potential issues.

  • Are there any time restrictions for parking?

  • Any issues from vehicle to building access? Excessive distance, items which could impede access?

  • Please document any issues or concerns with parking of vehicle.

Transport of Motors

  • Where are the motors located? Please estimate distance from vehicle.

  • Please specify how the motors should be transported from vehicle to destination.

  • Please provide photos of the route.

  • Is there sufficient lighting of the areas of that route?

  • Are the motors located at a different level to the vehicle?

  • Are any stairs encountered during the route?

  • Please count amount of steps and landings, provide photos.

  • Are there any issues with low ceilings or unprotected RSJ's throughout the route? If so, please provide photos.

  • Please check condition of steps, for loose, missing or damaged treads, slippery surface.

  • If steps have to be encountered, are there secure handrails at both sides?

  • Is a goods or passenger lift available to be used to transport the motors?

  • Check that the lift has been inspected within the last 6 months if it can be used by people or 12 months for goods only by a competent person. Provide evidence or request from store management.

  • Check intended route for floor issues. Slippery surfaces, obstacles such as excessive storage or waste, gradient, differing levels, pot-holes, loose or fragile drainage covers.

  • Please document any defects, issues or concerns regarding transport of motors from vehicle to destination.

  • Does the route taken interact with areas where member of the public are present?

  • Can all materials and tools be transported and stored safely? If no, please provide details.

Lifting Operations

  • How many AHU fan motors are located at this store?

  • What lifting equipment would be required, if the motors required are VO2 or VO3? Block and tackle, Engine hoist, Genie lift or other.

  • Please provide a brief description and photo of the area where the AHU fan motors are located.

  • Is any access equipment required to safely replace motors? Podium, step ladders, CAT ladder. Please provide photo if already in place.

  • If a block and tackle were to be used, please take photo and check if it has been inspected within last 12 months and provide photo or request from store management.

  • Please check surrounding areas where lifting operations are to be undertaken for any hazards, such as slippery floor, gradient, pot-holes, loose or damaged drain covers or excessive storage items or waste.

  • Is there a low ceiling or unprotected RSJ's at low level in the area where motors are located? If so, please provide photo.

  • Please provide any additional information regarding this area or lifting equipment required.

  • If there is already lifting equipment in place, please check when it was last inspected. Please provide photo as evidence or seek information from store management.

  • Does removal of existing motors present a problem?

  • Is there sufficient lighting in the area where the motors are located?

  • Is access to existing lifting equipment satisfactory?

  • Please document any defect, issues or concerns with the lifting operations to be undertaken.

  • Would an external lifting specialist be required to assist with removal and installation of fan motors? Please provide overview.

Location of AHU

  • Please describe location of AHU where motors are located along with photos.

  • If motors are located at height is there sufficient edge protection including toe boards? Please provide photos.

  • Does the area where the engineer would secure and connect motors have a solid floor?

  • If on a roof, is there any protection from weather conditions?

  • Is a harness or fall arrest/ restraint system in place in that area?

  • If yes to above question, please provide evidence of last inspection of that equipment (man-safe system). Please consult store management if not readily available.

  • Are there any other access issues, defects or concerns in this area? Please provide details and photos.

  • Does location of the AHU motors require a Permit to Work? For example roof or confined space.

  • Is sufficient local isolation present to replace motors safely?

  • Are there any restrictions to the electrical isolation points for each AHU?

  • Is an electrical permit to work required? Please state location where these are obtained from and a brief overview of the local process.
