Safe and Cash Office Security Procedure

  • Were the extra safe dial keys locked in a cash office drawer?

  • Were the safe combinations broken and safe dials locked last night?

  • Were the safe funds locked in the long-timer compartment of the safe overnight? (There should be no extra Safe Recycler funds, including rejected funds, in the short timer compartment.)

  • Was the deposit compartment of the safe locked and the store key removed from the slot?

  • Were the safe doors kept closed and dials on day-lock throughout the morning accounting?

  • Are proper pickup procedures being followed-within the $5,000 Cash exposure limit?

  • Did the Bookkeeper verify the Status of the SCO robots? Fijitsu SCOs - Are pickups done if the threshold of the acceptors were over $2,000 in the robot? Toshiba SCOs - Pickups done if the $20's and big bills were over $2,000? Bookkeepers are instructed to do loans and pickups after carrying forward in VB.

  • Did the Bookkeeper stay under the $5,000 Cash exposure limit? (Depositing funds as needed and using safe practices to load/pick up from SCO to be within the $5,000 Cash exposure policy. Check previous days pickups.) Are funds kept to a reasonable minimal amount to keep cash exposure low.

  • Was excess currency secured in a timely manner this morning? Did the Bookkeeper open timer compartment, get needed funds out, take inventory, and then secure the compartment promptly?

  • Was the change order secured in a timer compartment ASAP? If the long timer has funds, it should be kept locked. Change orders received (except coin) should be dropped into the long timer compartment (slot in top of compartment door) or secured in the short timer compartment. After 15 minutes any funds in the short timer should be moved to the long timer compartment with all the other extra safe funds.

  • Are change orders received reconciled to the bank packing slip?

  • Fuel Center stores: Did the Bookkeeper do the fuel center deposit after till balancing and making sure funds on TCO were secured? (Minimal funds on TCO is okay.)

  • Are fuel deposits sent out most Armored Car delivery days? (No more than 5 days of deposits.)

Safe Recycler Procedures

  • Is the Recycler reject cassette emptied daily? If not, there is a chance for the recycler to jam.

  • Does the inside of the Safe Recycler appear to have minimal dust accumulating? Does it appear to be well maintained.

  • Is Bookkeeper signing off the Safe Recycler when done?

  • Are Associates doing a vault drop on all funds that get rejected? The SR EOD Report will show tills with vault drops.

  • At night, are the Cashier/Floor Supervisors writing the coin roll and postage amounts on slips that go into the blue bags?

  • Are pickups done in VB for all funds that are vault dropped on the Safe Recycler?

  • Did the Bookkeeper wait for the recycler safe amount to clear before performing the Close in VB?

  • Is the inventory that is entered into the Safe Recycler only the extra safe funds, and not the funds that have been rejected from the Safe Recycler?

  • Is Safe Recycler Operator Numbers kept current. Are Associates that no longer need to be active due to relocation to another department or separation from Kroger deleted as ASAP?

Accounting and Asset Protection Procedures

  • Were all security items properly secured overnight? (Postage Stamps, AML Binder, lottery tickets, etc.)

  • Is line 201 accurately reported from Veri-balance? Is the till setup correct?

  • Is the Cash On-Hand total below $100K. If it is over $100K then look at the SCOs. Are they being loaded too high? Are pickups being done as needed? Are the safe funds excessive? Keep in mind full-balance weeks will have an excessive amount in the safe.

  • Did the value of on-hand items (scratch-offs, postage stamps, etc.) agree with the amounts reported on the Sales and Cash report?

  • Are the SCOs being full-balanced Monday-Thursday?

  • Is the store reporting the correct amount to put on line for Starbucks sales?

  • Are proper procedures in place for lottery? Is the ITVM balanced daily and 00s are limited to no more than one empty bin?

  • Are the Money Service and Fuel lottery bins merchandised daily with no more than one empty bin?

  • Is the store following the Lost and Found policy?

  • Are the credit/debit card readers being checked with the skimmer detector? Is there a skimmer log?

  • Is policy being followed for soda vending-line 882, Starbucks tips, and coin donation boxes-line830? (Keys, locks, meter reading, O/S and receipts. Starbucks tip report done in a timely manner.)

  • Are payroll advances made for payroll-related reasons only, with manager and employees signatures, and under two weeks old?

  • Is the Cash office & Money Services following 5s best practices? (Sort, straight, standardized, Shine and Sustain)

  • Are till audits being done?

  • Are MO Close-Out Reports reviewed and signed by the Bookkeepers?

  • Are WU receipts signed by Customer and Associates?

  • Were the filled out Logs/Forms in the AML Binder just from the previous day. (Only previous day should be in the Binder.)

  • Is the Operator Authorization policy being followed? Are Operators under the correct Model Type? Is there an excessive amount of operator numbers under a certain Model Type other than Cashier. (This is a way to give override powers to cashiers)

  • Is access to the SCO keys limited to one set and not on any associates individual set of keys?

  • Does the Bookkeeper & FES deep dive into the 31-day file each day? (Hand Key Report, Price Override Report, Manager's Exception Report, Coupon, etc.)

  • Are cashiers following the Kroger Coupon Acceptance Policy?

  • Does the Bookkeeper & FES notate a minimum of two close the loops each day? Is follow through being done to coach the associate there by "Closing the Loop"?

  • Do all Miscellaneous funds get processed correctly? (Lost & Found funds)

  • Are unclaimed payroll checks properly processed?

  • If a customer does not have a Plus Card, is a new Plus Card scanned and given to customer?

  • Is Our Promise being observed with all Associates and Customers?
