Site Handover Questions

  • Site Information Sheets in shared folder and are up to date – All information is recorded in the appropriate boxes and is up to date. for property and multi-occ sites this should include a key contact list i.e., managers of departments etc the people we would contact to disseminate information to or have a site user group meeting with.

  • How to Test a Fire Alarm Guide Document – Including relevant pictures of the site system (not the stock examples included in the original) and accurate information which will allow any trained operative to pick up and carry out a test of the panel.

  • Asset List - Is the Asset information up to date, have you got a copy of the asset list. Sport check 10 items from different locations as a sample?

  • Asbestos Survey / Management Plan - If available is there a copy available (electronic or on site).

  • Site Plans - Are they up to date (a true reflection of the site).

  • Areas of Responsibility Site Plan - Site Plan showing the areas EMCOR are responsible for. (ideally drawn up in CAD).

  • Fire System Site Plan for EMCOR Managed Areas - Site Plan showing the location of the Fire Panel and call points (ideally drawn up in CAD).

  • E-light Site Plan for EMCOR Managed Area - Site Plan showing the location of the Emergency lights and key switches also indicating the type of fitting (ideally drawn up in CAD).

  • Extinguisher Site Plan for EMCOR managed Area - Site Plan showing the location of the Extinguishers indicating the type (ideally drawn up in CAD).

  • EMCOR Site Notice Boards - Are they up to date and in line with the proforma issued?

  • EMCOR File Location - Incoming member of staff has been shown where all the relevant logs and files for the site are kept. (State location and Files)

  • Legionella Risk Assessment - (Property Sites) Is there a Legionella RA is it up to date and all actions closed out.

  • Legionella File - Is this in place and all records and required documentation been completed?

  • Fire Risk Assessment - (Property Sites) Is there a FRA is it up to date and all actions closed out.

  • Fire Risk Assessment - (Ops Sites) Is there a FRA available and any EMCOR related actions closed out

  • Fire Logbook - Is this in place and up to date?

  • Internal/External Fire Door File - (Property Sites) Where are the Fire Doors on site, is there a plan showing all the doors, are the documents up to date?

  • Internal/External Fire Doors - (Operational Sites) Where are the Fire Doors on site, are the monthly checks being carried out and noted on the Housekeeping report?

  • First Aid Boxes for EMCOR Managed Areas - Where are the first aid boxes on site, Are the monthly check sheets up to date and the stock all in date?

  • Service Matrix - Review the service Matrix is it up to date for the site, In coming member of staff has been shown each of the building and advised what each one is called as per the matrix.

  • EMCOR Audits - The last 3 months audits have been shared with the incoming member of staff.

  • Site Keys - Incoming member of staff to be shown what keys are needed if the keys are only relevant for that site these are to be handed over to the incoming team member.

  • Agility - All open jobs are in a place that can be handed over to the incoming member of staff on the agreed date (Where possible these should all be completed before handover) these job should have fully comprehensive notes included on them, a report should be pulled form Agility showing all open jobs for the site on the handover day and sent to the incoming member of staff.

  • Induction to Site - Has the incoming member of staff been booked in for a local site induction.

  • UU Site Personnel - Incoming member of staff to be introduced to the site PC and PM (if this is not possible for a valid reason, just send email) Email to be sent to all relevant site personnel cc'd new member of staff advising of the change and introducing the new member of staff with their full contact details.

  • EMCOR Site Personnel - Incoming member of staff to be introduced to the site EMCOR staff at site (if this is not possible for a valid reason, just send email) Email to be sent to all relevant site personnel cc'd new member of staff advising of the change and introducing the new member of staff with their full contact details.

  • Risk Assessment - Are there any site specific risk assessments (including PEEPS) that need to be handed to the incoming member staff.

  • Project Works - Are there any upcoming or recently completed project for the site.

  • Are you satisfied with the Site Handover that you have provided? - Have you included ALL information required, completed the requests to a satisfactory standard and provided the most accurate and up-to-date information as possible?
