Final checks

  • Is this template ready to be picked up and used without modification?

  • Make sure your template is complete and not missing anything that might be needed to start using it straight away. If you downloaded this from the Public Library, it would be good to go!

  • Have you checked that all terms and phrases you use are clear and anything that needs explaining is explained?

  • Avoid specific acronyms and assumptions of knowledge. Every person and workplace is different, so take the extra time to add clarity, teach and inform the people who will be using your template

  • Have you added flexibility to lists and groups in your inspection using Dynamic Fields?

  • When you don’t know the number of items that need inspecting, Dynamic Fields are really useful. Apply them to any template to have an unlimited amount of additions. Great for inspecting people, equipment and lists of things.

  • Have you used non-text item types in as many places as possible, reducing the burden of typing on the user?

  • With pre-prepared response sets from Question and Multiple Choice items auditors will be collecting uniform data. This will make reporting less of a headache. Less mistakes!

  • Is your audit easy to follow, understand and doesn't make the user jump through hoops?

  • Does your inspection flow logically? Is it structured to match the process of how someone at work would inspect?

  • Are you asking the user their intentions and hiding information from them that isn't meaningful or relevant?

  • Make use of smart fields to qualify what an auditor does or does not need to see. Try to display only relevant questions. Save time and make the user faster!

  • Have you found the balance and removed what's not important, and kept what needs to be there? Questions? Response sets?

  • Are there questions in your inspection that really just don't need to be there? Are there response sets that are just too long? Remember to keep things short and sweet. There's a balance between concise and confusing. Don't go overboard! It confuses your user.

  • Have you used multi-choice items with amazing response sets to replace text input where possible?

  • Typing on a phone or tablet while you are out on a work site trying to get the job done sucks. Wherever possible replace Text and Text Single Line items with Question and Multiple-Choice Question item types. Typing less and getting this inspection done quicker is the name of the game!

  • Have you thought about how this data will look in Analytics? Is it structured well to gain meaningful data?

  • Free-text items don't look great in SafetyCulture Analytics. As you build this template, try doing a few test audits and viewing the results in SafetyCulture Analytics. Have you set up Failed Responses for each question? Are sections and categories meaningful? Does scoring appear accurate? Are you able to get insight as to what is as isn't working and what's going well?

  • Is the score meaningful to the desired result of the inspection? Is it fairly weighted to items that matter?

  • Think about how you would want this inspection scored if it were for your work. Selecting the weather conditions outside from a list probably shouldn't penalise you. The fact that your fire exits are barricaded shut with boxes of paperwork probably should mark you down. Set up your scoring and weighting on an item by item basis and do a test run. Does the end score match what you'd expect for a good or bad result?

  • Are you 100% satisfied that this template is the best it can be?

  • Trust yourself and Build It Well!

  • Have you double checked the entire template for spelling and grammar errors, and to make sure that it all works?

  • Try reading things slowly out loud. This often helps you notice little mistakes! Works like a charm. (Really out loud. Not in your head!)

  • Does the template have an appropriate logo, description and industry?

  • This is the cherry on top of our cake! On the SafetyCulture web app this is the box to the top left in the Template Editor (It's called "Template Information")
