  • We can confirm that the temporary structures have been supplied and have been or are being erected within the provisions of :
    1) CDM(2015) Regs and other H&S Regulations and Laws applicable.
    2) IStructE publication 'Temporary Demountable Structures: Guidance on Design, Procurement and Use (4th edition, 2017).https://www.istructe.org/resources/guidance/temporary-demountable-structures-design-use/

    6) Professional knowledge, experience and manufacturer's guidance.
    7) The fabrics utilised for this structure meet all relevant standards for resistance to ignitability and flame propagation.
    8) The client has identified the requirements of use for the structure and notified us of the intended site design.

    We have checked that the tent is structurally sound and that:

Pre-Installation Checks / Site Suitability and Site Safety

  • Has the client been given all structural plans, insurance, risk assessments, method statements etc necessary for their safety files and planning?

  • Was an Advance Site Survey Document prepared and site survey done?

  • Are there any notable changes to Construction Phase Plan? Note here:

  • At event sites has the client given us a site map showing all relevant information ?

  • Was a site induction given by client / event safety officer upon arrival?

  • Was permission to work granted, including permit to break ground?

  • Are suitable welfare facilities available?

  • Is the Site secure and a safe working area, e.g. no members of public allowed in?

  • Desired positioning of the marquee has been checked before work commences?

  • Are there any overhead hazards e.g. electricity supply lines? If there are, are structures at safe distances?

  • Has the Client confirmed that there are no underground services on site or marked accurately and advised us of location?

  • Has a geotechnical site survey been done in advance by client?

  • Has a Cat Scan and Genny check of the ground been done for underground services by us or client? ( note a cat scan can only find so much: it is not a guarantee)

  • Are the ground conditions fully considered and suitable anchorage available?

  • Has a ground anchorage pull-out load-capacity test been requested or done and data recorded? Record data here:

  • Is the weather suitable for work? And are suitable weather proof clothing, sun protection, sun creams, foot wear available?<br><br><br><br><br>

  • Is there any storm, lightening, hail, snow or any other severe weather occurring or forecast. Was work stopped or delayed for safety? Note here

  • Has a current wind speed been taken during installation? Was it deemed necessary for safety? <br>Record data here taken at above head height or better at top of tent height;

  • Are all in team suitably competent for work processes or suitable onsite training and supervision available and occurring?

  • Are suitable tools and equipment onsite for work processes and to complete contractual obligations?

  • Is sufficient time and resources available and allocated for work processes?

  • Has a toolbox talk been done and all team aware of work objectives and site safety etc?

Post - Installation Checks / Structural Integrity

  • Was it considered safe to work and a safe working environment?

  • Be Honest: were there any accidents or near misses to report or any advisory actions that may help in the future? Note here:

  • Has a Hire Period Weather forecast check been done?

  • Has the Client been advised to have a Severe Weather Plan and Emergency Evacuation Plan?<br>Been informed that Tents should not be used as refuges in severe weather?<br>NOTE: Lightening, storm, wind, flood, mud, hail, rain and severe heat are all hazards to be aware of and planned for.

  • Is there a wind speed monitoring plan in force and client been given wind data for structures.

  • who is doing this?

  • Are the Anchorages suitable for the structure's needs given calculations, ground conditions and weather current and forecast and holding fast, with no signs of looseness? (Suitable extra strengthening for weather conditions when needed.)

  • Has the structure been strengthened via extra anchorage? Potentially allowing higher wind rating.

  • Are the bracing wires on roof and walls all in place and adequately tensioned and ends tidied up?

  • Are all ropes, including wire ropes, sound with minimal wear and tear? (Remember to check wooden sliders too as they are subject to rot)

  • Are all ratchets and ropes used safety rated? (n.b. side-ropes and wooden-sliders can fail or be adjusted by others in use and in storms, so keep an eye on them)

  • Fabric is tensioned and not prone to ponding (water collecting on roof)? NB; in use tent King-poles and side-poles may sink into ground so observation, base plates and adjustments may be needed during hire period.

  • Emergency exits and emergency lighting are suitable in quantity, in place, operating correctly and not obstructed, with further exterior escape routes to a safe place or refuge or assembly points not obstructed?

  • Are any fire extinguishers, in place at this point and suitable, fit for purpose?

  • Exposed ropes and stakes adjacent to entrances are capped/marked/roped off where needed or requested?

  • All flooring is evenly laid and secured to minimise slip or trip hazards?

  • All structural supports are sound without cracks or significant dents? (nb wooden side-poles can bend and even snap in storms)

  • No excessive weights are suspended from any beams or roof pieces? ( lights etc installed with safety cables where necessary too)

  • Canvas, flooring, chairs and tables are all clean enough or had a clean during install.?

  • Folding chairs and tables are fully unfolded, level and any safety catches are locked. Any defective chairs/tables should not be used?

  • All light bulbs, lights and electrical equipment are Pat tested, installed safely, working and suitable for electrical environment?

  • Has a temporary electrical installation been installed correctly, using tested equipment, earthed correctly and system energised, de-energised?

  • Has the temporary electrical system been safety tested where necessary and results recorded?

  • Client has been shown how to use electrics, lights, heaters and dimmers and given any information sheets required?

  • Client has been given information on Care and Use of Marquees and equipment and unauthorised modification whilst on hire?

  • Client has been given a simple structural checklist for monitoring tents over a hire period?

  • Any equipment left on site to aid client monitor the structures is left tidy and in a safe place with ladders etc locked up ideally?

  • Finally, an all-round visual check has been carried out to satisfy that the tent is erected and equipment installed correctly and left tidy, free of debris or equipment, safe and fit for purpose.?

  • I confirm that all of the equipment described has been delivered and I am satisfied with the finished product.
    I can confirm that unless it has been specifically agreed otherwise I will not alter any part of the marquee, including wall panels, and fixings and only competent persons will affect any installed electrics.
    I shall ensure that excessive weights are not suspended from the marquee.
    I have received copies of terms and conditions of hire and have been given advice on use and care of marquees and equipment.
    I confirm that as Client, the client is responsible for the safety and security of all hire goods during the hire period and that insurance is held to that effect.
    Note that client signatures are not always possible, eg due to absences or lack of Internet connection onsite.

  • Client Signature, ( n.b. client not always present but this audit and sign-off will be emailed to the client or safety officer anyway at first opportunity.)

  • Company representative's signature confirming that we have done our best to fulfil our obligations and safely completed our work according to contracts, discussions and Pre-Construction Information planning. We declare that we consider the equipment safe and fit for use at this current time though there may be more amendments made by us, other contractors, client or environmental factors in the pre-event period and during the hire period.
