    • Mobile phones must not be used while walking or manoeuvring on site
    • Use rubbish bins provided
    • Respect all staff, abuse will not be tolerated

Toolbox Talk: Pre- and Post-Use Vehicle and Trailer Checks

  • Vehicle check procedure will take 15 minutes to carry out.
    • Do not move vehicle before 15 mins. If pulled over by DVSA (Driver and Vehicle Standards Agency) or Police, it will show that you have completed a thorough walk around check.
    • As the driver you are legally responsible.
    • Follow the pre-use check sheet correctly, ensure that every item is checked thoroughly and marked down.
    • Ensure you are carrying spare tacho rolls, DCQ, driver card, driving licence.
    • If you are unsure ask for advice or guidance, never take unit, or trailer out on the public highway with defects.

    Post-Use Checks
    Post use checks should take a minimum of 15 minutes
    You are acknowledging any defects that have occurred during your shift
    You are also giving details of any incidents or accidents, also PODs have been signed, and the vehicle has been fuelled.

Toolbox Talk: Loading Bays

  • When you are placing a trailer on the loading bay/ removing from a bay, you must drop the air, using the air suspension valve and ensure you engage the trailer brake and turn off the refrigeration unit.
    The steps are simple for a loading procedure on the manual bays.
    • Collect a trailer and confirm the fridge is working correctly.
    • Reverse the trailer onto the bay.
    • Drop all the air out of the trailer suspension via turning the valve clockwise (only moves ¼ turn)
    • Engage trailer brake at this point.
    • Lower the trailer so it is now resting on the legs.
    • Turn off the refrigeration unit.
    The steps to follow for removing a trailer from the bay are as follows.
    • Still following the green light procedure.
    • Check trailer brake.
    • Connect to the trailer.
    • Turn on the refrigeration unit.
    • Disengage the trailer brake.
    • Move the trailer forward.
    • Audible Check the fridge is working.
    • Charge the trailer suspension air tanks so it is in the ride height setting.
    • Park up trailer ensuring the Parking brake is engaged.

    Failure to carry out this task is causing damage to the trailer legs, which is a cost to the business as well as a huge safety risk.
    Turning fridges off will save fuel, reducing cost and help with our carbon footprint.
    Any issues with fridges should be reported in the usual way.

Toolbox Talk: Truck Wash

  • Trailers:
    It is essential that ALL TRAILERS, be washed when dirty. We have a reputation to keep customers see a dirty lorry and make judgments on us. Also, we need to ensure that we keep ourselves complaint with the law, in regard to number plates and lights.

    Tractor Units:
    It is essential that ALL UNITS, be washed when dirty. Not only does it make it harder to drive through less visibility but also increases the risk of an accident. We need to present ourselves on the road with clean Trucks especially as we work with food.
    Do not leave it for the next person. Failure to comply with this toolbox talk, could result in disciplinary action.

Toolbox Talk: Refuelling Units and Trailers

  • Trailers:
    It is essential that ALL TRAILERS, be refuelled on return to Newcold. This applies to both loaded & empty trailers.
    Trailers left low on fuel are running dry, this not only can have an impact on the load. But can result in a call out incurring substantial charges.
    Tractor Units:
    It is essential that ALL UNITS, be refuelled at the end of every shift. It is apparent that some units are having to be fuelled before commencing work. This is due to Drivers NOT fulfilling their daily duties.

Toolbox Talk: Fridge Operation

  • All units are set to -21 degrees and must not be changed.
    Move the switch to the start/run position to start the engine, the engine will start after a few seconds. Move the switch to the off position to switch off.
    On the thermo king press the top button to start the engine and bottom button to switch off. The engine will start after a few seconds.

Toolbox Talk: Double Decker

  • Operation of moving floor double decker’s
    This procedure must be undertaken as part of your vehicle pre-checks.
    • Check the trailer is fitted with an Anderson Lead.
    • Plug in the Anderson Lead to give power to the trailer.
    • Check that the trailer has a full tank of fuel.
    • Open both rear trailer doors.
    • Check the trailer has been loaded correctly. (majority of the weight on the bottom deck)
    • (If empty) Using the control panel inside the trailer, check to see if the
    • moving floor operates for purpose. (lowers/higher)
    • Close both trailer doors and insert the seal provided.
    • The number on the seal MUST correspond with the number written on your paperwork.
    • Pull out the Colas lever to level out the trailer height/suspension.
    • Unplug the Anderson Lead and stow away safely.

Toolbox Talk: Barn Doors

  • Driving whilst on a public highway, or on any site with barn doors held back with door restraints is forbidden, for all Newcold employees. Barn doors should be always closed securely.
    Travelling with barn doors held back with door restraints, should only be carried out when reversing on to unloading or loading bays. Or guided under the supervision of a trained banksman.

Toolbox Talk: No Smoking or Vaping

  • Fines and penalties
    Businesses can be fined up to £2,500 if they don’t stop people smoking in the workplace or up to £1,000 if they don’t display ‘no smoking’ signs.
    In Scotland, there is a fixed penalty fine of £200, which can go up to £2,500 if the fine isn’t paid.
    Smoking in work vehicles
    Smoking isn’t allowed in any work vehicle that more than one person uses, for example:
    • taxis
    • buses
    • vans
    • goods vehicles used by more than one driver
    • company cars used by more than one employee
    A worker can smoke in a company car that only they use if their employer agrees.

Toolbox Talk: Unit and Trailer Brakes

  • Unit brake
    Ensure the unit hand brake is applied before dismounting. This must be always carried out, especially when a MAN unit is coupled up to a ANCRA trailer.
    The new MAN unit handbrake when in gear will release itself when the accelerator pedal has been touched.
    Ensure when stationary the engine is always switched off or in neutral. We have had 4 instances of runaways, due to engines been left running when left in gear.
    Trailer brake
    NOT ALL TRAILER BRAKES ARE AUTOMATIC
    The latest trailers park brake DOES NOT automatically come on when red airline has been disengaged. ALWAYS CHECK THIS MANUALLY.
    Following the BLACK procedure, the first thing that should be checked is the trailer brake.
    • Brake
    • Legs
    • Airline
    • Clip
    • Kingpin
    This procedure is taught when learning how to drive an HGV. We should have no trailers on site without the trailer brake applied.
    Drivers should also be checking trailer brakes as part of their pre checks before coupling to a trailer.

Toolbox Talk: Truck Keys

  • Keys should NEVER be left in any Newcold Unit whilst you are away from it.
    While coupling and uncoupling the Unit keys MUST be always in your possession.
    The only exception from this is when unloading or loading Ancra trailers. After completion of unloading or loading, Unit keys MUST be always in your possession.
    This also applied on opening the trailer doors for loading and unloading.
    The truck MUST be locked for security reasons.
    Remember your personal possessions are inside the unit.

Toolbox Talk: Defect Reporting

  • When finding a defect on a unit or trailer, the following process must be followed:

    • Ensure that defects are reported verbally, (whether this be by phone or face to face), texts or what’s app messages do not suffice although they help visually. A defect number will be supplied and must be written in the appropriate box on the drivers check sheet.

    • When taking a unit or trailer to be fixed, no additional repairs should be requested that have not been reported to the office.

    • If a minor defect has been fixed by a member of Newcold staff, e.g. bulb or fuse, a report still must be made to track reoccurring problems and for audit purposes.

    • When a driver stays in the vehicle all week defects should be reported as they arise instead of reporting all at once when back at base. A repair may be required on the road, a more senior member of staff will make the decision if the vehicle is roadworthy and if not put a plan in place for a repair.

    • Drivers must be aware that when away from base and wheels are removed on a tyre defect, they must make sure that the correct wheel fixing and retorque procedures have been carried out. If no documentation is issued, they must contact duty manager for instructions. When wheels are not removed this should also be noted on contractor’s job sheets.

Toolbox Talk: Process for Accident/Incident

  • If you are involved in an accident or incident, follow this process:

    • KEEP CALM
    • Stop vehicle as it is safe to do so, move vehicle to safe area if possible
    • Call emergency services if needed
    • Gather as much information that is required
    • Location
    • Weather condition
    • Road Condition
    • Photos/ Damage of the vehicle
    • Report to Newcold as soon as you can
    • Exchange details with 3rd parties. This is also required when making Collections/deliveries to customers and on any Newcold sites.
    • DO NOT admit liability to 3rd party, only give your name, vehicle registration number, site name.
    • DO NOT give out your own personal details

Toolbox Talk: Checking Paperwork

  • Due to many trailers being taken to delivery points with the wrong stock on we have decided to ensure that drivers know what they are looking for before leaving the yard.
    Things to check at the driver’s window:
    • Check your run sheet and make sure there is a trailer number in the correct box.
    • Check your POD (Proof of Delivery) to ensure the trailer number is the same as your run sheet.
    Things to check when at trailer:
    • If the trailer is sealed, check that the seal matches the one printed on the POD.
    • If the seal is placed on the handle, you can still check the seal corresponds, but you can also check the stock inside.
    • If the POD says Lantmannen but the stock on the trailer is Mccain’s you will need to return to the office and report it.
    • The final check will be to check the back pallet label for a SSCC number and find it on the POD.
    • The trailer MUST be sealed before leaving site
    By doing these checks we can reduce or delivery failures and help to run transport smoother.

Toolbox Talk: Proof of Delivery (POD) Paperwork

  • As a transport company we charge our customers for deliveries completed by showing proof that we have delivered the stock. We do this by using a manifest of the stock loaded and the delivery point signs to say they have received all the stock.
    It is important to ensure that the delivery point signs the POD in order for us to charge the customer for the service provided.
    When a delivery point takes the POD, you must ask for a copy, ensure that your copy is signed.
    If the customer provides their own receipt note, e.g. Asda, Morrisons or Coop. Then this must be kept and returned to the transport office.

Toolbox Talk: Vehicle Heights and Bridges

  • Any vehicle over 3 meters in height by law, must display an in cab height Indicator. Setting this to correct height should be included as part of a pre-check routine, or any trailer changes made. The In-cab height Indicator is usually displayed in feet & Inches. Always check that this is correctly set before commencing any journey. Should any governing body be involved at a check point or routine stop, the driver can receive a fine of up to £300 for incorrect height been displayed. The Height marker must be no less than the vehicles height and no more than 150mm/5.9 Inch above the vehicle’s height.

    Bridge signs usually give the information in both feet, Inches/ meters. It is important that you adjust your height indicator to correspond with the vehicle & trailer that you are driving. A bridge strike can have devastating consequences for both the driver & the company’s O’ License. The financial implications of a result of a bridge strike can run into 100,000 of pounds. Should you be in the unfortunate position of striking a bridge, you will most likely find yourself answering questions to a Traffic Commissioner.

    Satellite Navigation Systems (Sat Navs) are now something that most drivers need to be able to complete their working shift. If you are in possession of Satnav, it is a Newcold Policy that this be a HGV suitable device where vehicle height, width, & weight can be set. It is important before you commence any journey, that you plan your appropriate route taking into consideration any bridges on route. Any route or diversions should be checked for any height, weight or width restrictions.
    Procedure for a Bridge Strike If you do strike a Railway bridge, you must follow this procedure.

    • Make your vehicle safe & activate hazard warning lights
    • Look for the Railway Data Plate, usually on the nearside of the bridge.
    • Telephone the number displayed
    • Give the bridge reference number from the plate
    • Answer any questions of information required by the rail operator
    • Call the Police
    • Call your Employer
    This can result in fines, penalty points on the driver's license, or even a driving ban in severe cases. Regulatory action: for professional drivers and transport companies, a bridge strike can lead to regulatory action from the traffic commissioner.

Toolbox Talk: HGV Sat Navs

  • When driving a HGV, there are two main considerations: safety and efficiency, HGV Sat Navs can help you with both.
    It is important that you use a dedicated HGV satellite navigation system or an appropriate HGV phone app.
    You must input the vehicles dimensions correctly to help avoid weight and height restrictions
    You must not use Google maps to navigate
    You cannot touch your Phone or HGV sat nav while driving, if adjustments need to be made to your route it is necessary that you find a safe place to stop to change the settings.

    Driving an HGV vehicle without a digital tachograph card inserted is not allowed.
    Missing mileage result from this and must be accounted for.

Toolbox Talk: Manual Entry

  • • Insert card into tacho head, you will be asked if you would like to share personal information, always allow.

    • Next you will be asked if you have been on rest until now. Most of the time you have started work before getting a unit so a manual entry will be required.

    • The tacho will ask if you finished at the time you finished on your last shift. Eg 14/3/23 17.20. Have you been on rest since then?

    • Next it will ask are you starting now? You will need to go back to the time you started work. Eg 15/3/23 9.30 but you started at 9.00. Press okay to navigate down to the time and roll back to 9.00.

    • Now from 9.00 until 9.30 you will set the activity to POA as you have been available to work but have not had a unit or if you been waiting in the office for paperwork.

    • After confirming the entries, you will be asked if you want to print them. If there have been no infringements, there is no need to print.

    • Lastly you can complete the entries, and you are ready to do your pre use checks.

Toolbox Talk: Driving Hours

  • Driving
    • 9 hours daily driving limit (can be increased to 10 hours twice a week)  
    • Maximum 56 hours weekly driving limit  
    • Maximum 90 hours fortnightly driving limit
    Breaks  
    • 45 minutes break after 4.5 hours driving   
    • A break can be split into two periods, the first being at least 15 minutes and the second at least 30 minutes (which must be completed after 4.5 hours driving)

Toolbox Talk: WTD

  • How many hours can I work in one week?  
    You may not exceed an average of 48 hours working time (driving and other work) per week over a specific reference period.  In addition, you must not work for more than 60 hours in any single week.

    Reference period 
    The number of hours worked each week should be averaged out over a continuous 26-week period.
    A reference period starts at 00:01 on Monday and runs for the relevant number of weeks until 24:00 on Sunday. If the 26-week reference period is selected there will be one period of 18 weeks to cover the year.

    How many hours can I work in one day?  
    Although there is no daily limit on the amount of working time in one day (between daily/weekly rest periods), the requirements for minimum daily rest (9 hours in 24) mean a driver cannot have a working day of more than 15 hours at most three times between weekly rest periods. Where a driver has a full daily rest of 11 hours, the maximum working day is 13 hours.

    What is classed as a week?  
    A ‘week’ means the period of time between 00.00 on Monday and 24.00 on Sunday. 

    WTD breaks: 
    A driver may not WORK (That means both driving & other work) for more than 6 hours at once without taking a break. 
    Before working beyond the 6 hours, you must have taken a break of at least 15 minutes. 
    You can take this before or upon reaching 6 hours of work. So long as you do not work longer than 6 hours without separating it with a break. 
    If working between 6 and 9 hours, then you are required to have taken at least 30 minutes of break in total before the end of your shift. 
    This can be taken all at once or in sections of 15 minutes but just remember that you can never work more than 6 hours in one stretch. 
    This pattern continues if working beyond the 9 hours threshold whereby a further 15 minutes is required. Once again, the 45 minutes can be taken all at once so long as you abide by the 6-hour rule.

Out of Hours Policy

  • 1. OBJECTIVE
    With the exception of Tramper Drivers, it is the policy that all drivers return to their depots at the end of their shift. However, due to unforeseen circumstances, there are occasions where it would either seem unlikely or that a driver is unable to return, this policy sets out the process to follow for both the driver and the Transport Management Team.
    2. SCOPE
    This policy applies to:
    • Agency and Newcold HGV Drivers
    • Transport Office Team Members

    3. POLICY STATEMENT
    Routes are planned to be completed within your working hours, however due to an unforeseen event, e.g. road traffic incident, weather conditions, vehicle breakdown etc, drivers can be delayed and have low or insufficient hours (RTD or WTD) to return to the depot legally. In these circumstances, the below process should be followed:
    • Be mindful of your working and driving hours and call in good time to advise of any issues so actions can be taken to ensure your safe return.
    • Drivers are to call the Transport Office (providing it is safe to do so) and advise their current situation; location, distance from the depot, current driving conditions, remaining legal time, breaks due etc.
    • The Transport Team Member will offer guidance given your individual situation, which may include speaking to your delivery site regarding a faster turnaround, advising you return immediately to the depot, sending a replacement driver in the event of a breakdown, find a safe place to park for your daily rest or alternative guidance.
    • Drivers should maintain contact with the Transport Office calling regularly with an update on their situation, allowing the Transport Team to offer the best guidance on your situation.
    • If you have been unable to return to the depot and have limited working or driving time available, you should make for the nearest safe place to stop for your daily rest. The Transport Office can offer guidance for you on where you can find a safe location.
    • The driver should call the Transport Office to confirm the location they have stopped at for their daily rest and confirm if they will be taking 9 or 11hrs rest.
    It should be noted that once your working time limit has been reached, you are no longer able to legally work, which prohibits you from being collected. If you are unable to return to the depot within your legal working or driving hours, you will be required take your daily rest in the vehicle.
    The Company has a SNAP account to pay for overnight stays at Service Stations, in the unlikely event this account does not work, payment can be made and reclaimed via expenses.
    If you are required to night out, you will receive a tax-free night out allowance of £25 per night.
    Whilst every effort will be made to ensure drivers can return to the depot at the end of their working days, it may not always be possible, and drivers should consider planning for those rare occasions they may need to night out by bringing some emergency supplies e.g. sleeping bag, toothbrush.

    commit to reviewing the content in full, along with the PowerPoint presentations received during my induction, to
    ensure I am well-informed and prepared to adhere to the guidance and advice provided. Additionally, I understand
    the Safe Systems of Work (SSOW) and Risk Assessments and will apply them appropriately in my role.
    I also recognise the importance of abiding by all relevant traffic laws, regulations, and company policies.
    Furthermore, I acknowledge that the company may, from time to time, require me to carry out additional duties
    such as shunting or gritting, following the necessary training and instructions.

  • This is a declaration that I

  • Understand and will comply with all relevant legislation in relation to road transport and any other reasonable
    requests by NEWCOLD.
    I understand and declare that I Have a full valid driving license (with no pending convictions, endorsements or disqualifications)
    for the type of vehicle, I am asked to drive.
    Have on my person:
    My current and in-date DQC Card. I will ensure my Digi card is downloaded at the required
    intervals as requested by NEWCOLD.
    Am aware and will comply with the Drivers Hours Regulation for LGV and Road Transport
    Working Time Regulations.
    Am aware that no passengers are allowed in the cab without written authority.
    Will carry out my Vehicle pre use checks and report any defects as instructed to.
    Will re-fuel and top levels up, ensure vehicle cab is in a clean state at the end of my shift.
    Will inform NEWCOLD of any encounters with the DVSA, Police or any other enforcement officer
    Will abide by the statutory speed limits applicable for LGV'S.
    Will never use a Handheld device (mobile phone etc) whilst driving
    Will report any incidents, accidents or near misses to the Transport Office immediately.
    Will comply with Health and Safety, Policy requirements on this site and any other sites that
    visited during my shift.
