2 WEEKS PRIOR TO STOCKTAKE (indicate dates for completion as per your planning on every point in notes)

  • All testers must be written off and approved by Area Leader - Indicate date on when this will be done

  • All expired stock must be written off and approved by Area Leader - Indicate date when this will be completed in notes

  • All supplier returns to be adjusted and approved by Area Leader

  • Order bin stickers from procurement and follow up - indicate update on this in notes

  • Ensure that all products are correctly bar-coded - Indicate date in notes on when this will be completed on your planning

  • All service centre damages must be booked out and sent

  • Arrange adequate staff for stocktake - Add notes on where your which stores will be assisting with staffing and numbers

  • Schedule all staff attending stock take on store force - Add a pic of the scheduling for the stocktake

  • Check that your Area Leader has approved the stock take hours - Add a note on overtime and if it was approved - also remember to add to forecasting

BACK OFFICE CHECKS (indicate dates for completion as per your planning on every point in notes)

  • In transit report is up to date (7 days grace period)

  • Direct Deliveries report is up to date (14 days grace period)

  • Make sure all return to supplier and IBT’s are validated

  • All outstanding stock queries are resolved (paperwork proof)

  • Customer repairs must be either sent away or isolated (not scanned)

  • Note that pending credit notes are booked out before stocktake

  • Ensure negative stock is cleared (each day for a week before stocktake) - indicate date to be completed in notes.

  • All stock issues/Jira queries sorted - indicate date when this will be done

  • All Marketing indemnity forms are resolved

  • All unresolved Marketing indemnity forms are kept with write-ups

  • Manual invoice books are captured on POS

PHYSICAL STOCKTAKE PREPERATION (indicate dates for completion as per your planning on every point in notes)

  • Shoe paring was performed and odd shoes isolated (not to be scanned)

  • Write ups for windows only and checked the day of stock take

  • Display items have a page of barcodes at the display

  • U-Tools display items have a page of barcodes at the display

  • U-Tools cabinets to be binned and scanned, not written up

  • Make sure layaway stock (location 2) balances to Cow Hills EOD report

  • Make sure customer set asides(location 3) balances.

  • Make sure damage stock (location 4) balances.

  • Make sure the store is neat and tidy. A tidy store is easy to bin & scan

  • A stocktake plan or bin allocation sheet exist (see below Note 1)

  • Make sure that you do a reprint of items that sells out of scanned bins.

  • Empty packaging for display stock in cabinets to be isolated (not scanned)

BINNING (indicate dates for completion as per your planning on every point in notes)

  • Bin the entire store

  • Pre-counts must be done the afternoon before stocktake

  • Without incurring overtime cost or impact on customer service the following areas can be scanned the evening before (see below Note 3)

  • Start numbering bins in the stockroom and continue on the floor. Windows and displays first, then 1.8meters on to the walls and freestanding fixtures.

  • Keep the bins small. As a rule, no more than 20 items/products should be allowed per bin.

  • Make a clear distinction between the bins.

  • All bin numbers should run from top to bottom and from left to right in the store. Bin stickers should be placed at the end of the bin (i.e. right-hand side).
