OA. Office layout

  • OA.1 The layout of work areas is suitable for tasks, including being able to sit and/or stand comfortably

  • OA.2 There is sufficient area in which to work

  • OA.3 Workstations are designed to facilitate the flow of work from start to finish without the need for the worker to rearrange equipment for each task

  • OA.4 The potential for interruption of work is minimised

  • OA.5 Appropriate mechanical handling equipment is provided, where required, e.g. trolleys, pallet jack, scissor lift.

  • OA.6 Devices are in good condition and regularly maintained

  • OA.7 Storage is adequate and well-designed for tools and equipment which are not in use

  • OA.8 Unauthorised/aggressive persons can be prevented from entering the work area by a barrier, e.g. a reception desk, lockable door etc

OB. Workstation

  • OE.2 Work surfaces [desks, benches] are set up at the appropriate height:<br>- 680-20 mm for seated work<br>- 900-950 mm for standing work

  • OE.3 There is sufficient room for the tasks carried out

  • OE.4 Frequently used items are within the primary reach zone of the user

  • OE.5 The work surface has useable, uncluttered space

OF. Computer Equipment

  • OF.1 The computer screen is at arm's length from the user

  • OF.2 The computer screen is at the correct height for the user

  • OF.5 The position of the keyboard is correct for the current user

OG. Access

OH. Task Variety

  • OH.1 Daily work has a variety of tasks that allow for job rotation

  • OH.2 Rest periods can be taken between each task, e.g. five minutes rest/stretch breaks in each hour of work

  • OH.3 Daily work variety allows for movement between postures during the course of the task, e.g. sit to stand or move around the work area

  • OH.4 Repetitive muscle effort for lengthy periods of time is minimised

  • OH.5 Repetitive strenuous application of muscular force is minimised

  • OH.6 Staff members involved with manual handling tasks have attended training

  • OH.7 Additional trained staff members are available if a team lift is required

OI. Electrical equipment

  • OI.1 Staff receive basic electrical safety instruction (see Electrical Safety Brochure)

  • OI.2 There are sufficient general purpose outlets (GPOs) for the equipment and appliances

  • OI.3 All switches, plugs & GPOs are in good condition

  • OI.4 Extension leads are only used for temporary, short-term power connections

  • OI.5 Double adaptors & piggy-back plugs are not in use

  • OI.6 Power boards with overload protection are used if sufficient GPOs are not available

  • OI.7 Equipment and appliances, including cords and leads, are in good condition

  • OI.8 Equipment and appliances are earthed or double insulated. Look for the double insulation symbol on the specification plate

  • OI.9 Fittings are protected against external damage

  • OI.10 Electrical equipment is tested at appropriate intervals and tagged

  • OI.11 ‘Out of Service’ tags for faulty electrical equipment are available and used

  • OI.12 Electrical switchboards are clear of obstruction

  • OI.13 Where earth leakage protection (RCD) is supplied, it is tested regularly

  • OI.14 Battery rechargers are smart chargers, i.e. turn off when charging is complete (Hazard Alert 2008)

  • OI.15 Private electrical items have been inspected, tested and tagged or else have been removed from the University in accordance with the Electrical procedure

  • IO.16 For non-DOI Uninterruptable Power Supply UPS - has the UPS been inspected, tested and monitored? Have the batteries (battery pack) been inspected (or replaced) in the last 2 years? Any UPS in storage must have the battery pack disconnected. (Hazard Alert 2012)
