Navigation & Structure

  • Demonstration of Categories

  • Instead of having long strings of questions streaming down the page of your audit, it looks better and is easier to manage if you group them into categories.

This is what a category field looks like in your audit.

  • So, lets take a look at an example of how an audit looks both with and without categories.

  • Tick this box to get started

  • Switch me on/off. When I'm OFF you'll se below a simple list of items. When I'm ON the same items are presented but using categories makes it far easier to use and is better on the eye.

  • Here you see a straight list of questions one after the other.

  • Did you also note that you can tap on the category to open or close it. Pretty handy if you were only worried about Blue pens today. Note, even if you have closed the category, it WILL still appear in your report.

  • Categories also appear in your Table of Contents on the report. But you can't use them to get subtotals of score/s.

  • Demonstration of Information fields

  • You can have 3 types of information fields. Text, Media or Link. (The paragraph you are reading now is a text type). You can use it to provide instructions or other written information to the user. You can also choose whether or not it appears on the report. For example, this text will appear in the report, but the next one won't

  • This information field won't print out on the report. Check and see for yourself. So it could be detail for the person conducting the audit, but you don't want the client to see it in the report.

  • I have also hidden a field on the audit, that will only appear on the report. This is good if you want to give detail to the customer but don't want to clutter the screen whilst you are performing the audit.

  • Tick me to reveal the hidden text when the report is previewed or printed.

  • Demonstration of Sections

  • IT'S A LONG WAY TO THE TOP. (Well it could be). Imagine you have a very large checklist to work through.

  • All that scrolling up and down, You could get lost.

  • Similar to Categories, Sections help you to break your audit down into meaningful (and manageable) chunks. You can see what section you are in at the top of this audit. (We are currently in "Navigation & Structure"). Try swiping to the right or left to move between Sections.

  • As well as swiping between Sections, you can tap on the section, and it will shrink into a list of all the sections in the audit, so you can quickly move between them.

  • Sections are separated on your report by a page break. They are also the headings for your table of contents.

  • Scores (if you want to use them) will also be tallied for each section.

  • Demonstration of Scoring

  • There are 2 components to scoring. (Score and Weight)

  • I am a Checkbox with a weight of 1

  • Not ticked the score is (0/1)

  • Ticked the score is (1/1)

  • I am a checkbox with a weight of 3

  • Not ticked the score is (0/3)

  • Ticked the score is (3/3)

  • I am a Question with a weight of 4

  • No answer selected, gives a score of (0/20)

  • 1 x 4 gives a score of (4/20)

  • 2 x 4 gives a score of (8/20)

  • 3 x 4 gives a score of (12/20)

  • 4 x 4 gives a score of (16/20)

  • 5 x 4 gives a score of (20/20)

  • The highest scoring response is set to 5. And the whole question's weight is 4, so the maximum you can score is 5 x 4 = 20.

  • How does scoring work with Multiple Choice fields? Well, this depends on whether you choose for it to be Single Selection or Multiple Selection.

  • The score base is the maximum score that can be selected from the list.

  • I am a Multiple Choice field with Single Selection.

  • Because you can only select ONE response then the score base is the maximum of any single choice you can make. (ie. 5). So if you selected the option worth 2, then your score will be (2/5).

  • I am a Multiple Choice field with Multiple Selection.

  • Because you could select ALL responses, the score base is the sum of all selections. (Ie. 1+2+0+5 =8). So if you selected only the first 2 items (worth 1+2) then your score would be (3/8).

  • Note: If the score base from a mulltiple selection means the field is contributing too much against your overall score, then change the weighting to a decimal value. Eg. The above example contributes 8 points to your overall score but it should only be worth 1 point. Change the weight for the component to 1/8 (0.125).

Components that allow you to assign a weight & score.

  • Questions - (Score depends on the response)

  • Checkbox - (Score is either 0 or 1)

  • Multiple Choice - (Score depends on the response)

  • Slider - (Score is the value selected). Note: The score base is the maximum value of the slider. Eg. If the max value on the slider is 1000, then this field would contribute 1000 points to your overall score. In this case you may change the weight to 0.001 so it brings the total contribution back to 1.

  • Switch - (Score is either 0 or 1)

  • Demonstration of Exporting Audits

  • iAuditor has a very powerful feature. The ability to output the results of your checklist as a very professional report.

The Export Profile is the key to configuring the report.

  • It can output your report in many formats (eg. PDF, Word, CSV, JSON & XML)

  • You can modify nearly all items related to the report.

  • Margins, page widths

  • Quality & resolution of media

  • You can choose to omit things from the report based on their value or score or whether a response has been provided.

  • You can choose whether to include Page & Doc numbers, Title Page/s, Table of contents, disclaimers, scores, etc. And you can change the format and appearance of each.

  • You can include up to 3 extra pages with the report.

  • You can choose how to present failed responses and whether to include actions.

  • You can have (and select from) many different Export Options all individually customised.

  • The barcode scanner is simply a data entry tool. It takes the number represented by the barcode and enters it into the field. It can be really usefull if the assets you are auditing have barcodes attached to them.

  • You can go intelligent with Checkboxes. They can be simple or very smart (if used with smart fields)

  • They can be simple ticks. Eg.

  • Or they can be much smarter (when used with smart fields). Eg.

  • Is the item Servicable? (Note the different responses available below depending on whether the item was ticked)

  • Item passed inspection (ITEM TICKED)

  • Next service date

  • Item failed inspection (ITEM NOT TICKED)

  • Reason for failure

  • Rectification Date

  • You may want to enter both date and time

  • Use this field to create a freehand drawing within your audit

  • Or maybe you would like to have a pre-determined drawing template behinnd your drawing

  • You can ask for a signature without any form of date/time stamp

  • Or you can choose to have the date/time stamped with the signature

  • Do you want a signature to be mandatory?

  • Try to complete this audit without collecting a signature (Note the red mark to the left)

  • Note. If you had said No to the question (Do you want a signature to be mandatory?) then you would be able to complete the audit.

  • Demonstration of Sliders

  • Sliders are a graphical and easy way of entering a quantity between specific ranges and with set increments

  • It could be as simple as a scale of 0 to 2

  • Or 1 to 100

  • Maybe in increments of 0.1

  • Or increments of (say 20)

  • Or within a specific range

  • Demonstration of Text boxes

  • Here you could enter a paragraph or two (or more)

  • Allow additional text boxes? (Switch me on)

  • Now you could write War & Peace

Sets of responses drives your question options

  • When you create a question, you have the option to use an existing question set or to add your own (new) set. Only a few simple sets are provided initially by iAuditor. You have the ability to create many more that can be used and re-used within your audit.

  • Tick this box if you would like to see a few question sets I have created.

  • You can create a question with (up to) 5 answers.

  • Depending on your response, you can ask for different inputs. Eg.

  • You can even attach a notification to a question response? Eg.

  • Here you can only select a SINGLE item from the list

  • Or you can create a list where you can select from ONE to ALL of the items in the list

  • You can assign a COLOR to items in the list

  • You can add some Smart Fields that changes the available responses depending on what you select from the list

  • Maybe you want to default a value if nothing is selected from the list. If you don't make a selection from this, then the default answer will be No

  • Demonstration of Switches

  • A switch can be as simple as indicating the status of a switch / circuit breaker / light or indicator when performing an audit On/Off

  • On or Off (Slide to the left or right)

  • Or (when used with a smart field) can turn on additional audit items. Eg. Imagine you have attended an alarm panel with 3 indicator lights and some gauges. Switch on an indicator light and see the responses to make.

  • Note: Normal operating temp is between 2500 and 3000 degrees. Use the slider to select different temperatures and scroll down to see differing actions appropriate to your selection.

  • Smart Fields

  • Smart fields are the absolute key to the iAuditor system.

  • They are the big If!

  • Nearly all field types can be followed by a Smart Field. They are nested at one level higher than the previous field..

  • The options to follow are then nested at the next highest level

  • To provide an alternative choice, the next Smart Field must be nested at the level of the previous Smart Field
