  • Guidance: this will either be a site audit pro document/file or a report or marked up drawing labelled scoping or feasibility.This can be a scanned in version. If not in the correct folder or on the right template mention above.

  • Have you started to populate the risk register?

  • How are you tracking risks?

  • Is this stored in LINK (DML) (^^)

  • Where is this stored and how is it used? (DML) (^)

  • Guidance: There should be a risk register stored in folder 05.03.07 and on template number CON068. If not in the correct folder or on the right template mention above.

  • Has the RFI Tracker been completed using the HB template?

  • Guidance: This should be saved in 05.10.03 and on template CON152. If the document isn’t stored in LINK or on the correct template mention above.

  • Has the CVI tracker been completed using the HB template?

  • Guidance: This should be saved in 05.10.03 and on template CON151.

  • To ensure the program, subcontractor appointments and H&S factors have been considered has a Project launch meeting occurred? This is an internal meeting before the pre-start meeting on site

  • Why was this meeting not completed?

  • Guidance: You should be looking for a completed set of meeting minutes on the correct version of CON131. This can be a scanned in version.

  • Has a construction programme been completed?

  • Guidance: This should be stored in folder location 05.06 and on the current template CON136. If this is not stored in LINK in the correct folder or on the right template please indicate above.

  • Has this programme been uploaded into LINK?

  • Is version control being used? Are renditions attached?

  • Guidance: There should only be one HB programme visible in this folder. If you can see all the versions in a list in this folder then version control is not being utilised. A rendition should be visible along the line of the document in a different format to the original e.g a PDF.

  • Guidance: If the project is notifiable there would need to be an issued F10. This should be stored in the folder location 05.07.01 in LINK.

  • Is the notifiable box ticked on the project page on LINK? (DML) (^)

  • Guidance: This should be visible from the front page of the project. There is a field at the top of the page on the general tab saying notifiable. If this says yes, there should be evidence of this in the project. Double check it is not notifiable if the project says no.

  • Have you checked your team have the correct qualifications to work on this site? This follows the competence and training and awareness process map 1.2.2

  • Has a Subcontractor Tender Review Meeting occurred? Show evidence in the form of meeting minutes.

  • Guidance: You should be looking for a completed set of meeting minutes on the correct version of QS048, that are to be completed by the QS. This can be a scanned in version. Pre-Let meeting to be held with subcontractors where packages are £10k+

  • Is there an issue sheet showing the drawings that have been sent to site?

  • Guidance: In LINK on the project in DLM Issues there should be an issue sheet showing the site manager had been issued the latest drawings. If there is no record of this are there actually any drawings on site? Paper copies should be logged on this issue sheet too.

  • Is there evidence of weekly/fortnightly progress meetings held with the team?

  • How is progress monitored and issues communicated to the team?

  • Guidance: These will be stored on LINK using CON145 Team Minutes.

  • Have Site Diaries been completed and uploaded to LINK?

  • Have progress photos been uploaded to LINK?

  • Are these stored in the Image Library within LINK?

  • Have these photos been named correctly and resized?

  • Guidance: Photos should be uploaded within Image Library under correct pool. Photos should be suitably named and resized to medium.

  • Have weekly progress reports been issued to the Client?

  • Guidance: Completed and uploaded to LINK using template CON098 Contractors Weekly Report or Client specific template.

  • Is there evidence of CM Inspections (Project Health Checks) being carried out regularly?

  • Have these been issued out to the site team?

  • Guidance: This should be completed on iAuditor and evidence on LINK that this has been issued out to the Site Manager, H&S and Regional Director. To be completed minimum fortnightly.

  • Has Practical Completion been achieved?

  • Show evidence of Practical Completion achieved and uploaded to LINK

  • Guidance: Client specific PC certificate should have been received and uploaded to LINK under 05.06. CON005 PC Cert also to be signed and uploaded.

  • Has snagging occurred?

  • Guidance: This should be completed on CON002 Snagging template or Client specific template and stored in LINK folder location 05.03.05

  • Has the O&M manual been issued out

  • Guidance: This compiled document should be store in LINK folder location 05.07.04. There should be an email record of this being sent out or record of it sent out on a disk.

  • Have KPI's been completed for the sub-contractors within LINK?

  • Who has completed these?

  • Guidance: There is a two-week period, after a project has finished, that these should be completed. If the scheme has been finished for two weeks then this needs completing asap. You can find copies of the KPI’s on the performance ratings tab. There should be 4 KPI’s completed. One from a contract manager, one from the buying department, one from the site manager and one from the QS.

  • Has a post project review been completed?

  • How are you assessing the success of the job and how are leanings being shared throughout the business?

  • Guidance: There is a two-week period, after a project has finished, that these should be completed. If the scheme has been finished for two weeks then this needs completing asap. PPR is to be completed on iAuditor.

  • Has the project status been updated?

  • Guidance: This should show the project is complete. It maybe in a defects period or practical completion or closed.

  • Have you received the Making Goods Defect Certificate?

  • Have you advised the QS so they can close the job out in Focal point?

  • Guidance: You can check this by seeing if the projects has been closed on focal point.
