Guidance - Before Visit

  • Plan your visit in advance with the relevant manager

  • Plan your follow up visit with your health and safety partner in order for this to take place within two weeks of your visit

  • Ensure your diary is free from calls - You may want to consider using your out of office

  • Commence your inspection within Safety Culture upon arrival at the destination, this will then allow you to dip in and out of it during the day, adding any information

  • Start your visit at the relevant depot - this will give exposure to manager and colleagues

  • Capture notes and images during the day, including good practice

  • Have a digital copy of the Health and Safety Policy available for the relevant country / business as this will be a vital point of reference document

  • Any feedback or suggestions to improve this template - Add comments, notification of this will be sent to Graham Pye for review

Guidance - During Visit

  • Ask open questions

  • Listen

  • Avoid distractions unless business critical, i.e. not making/taking calls or joining conference calls, responding to emails (As this is planned, there should be very little to distract you from the visit)

  • Travel in the same vehicle with the colleague - this will build trust and allow natural conversation

  • Capture names of all colleagues you interact with

  • Wear appropriate clothing and Personal Protective equipment, Safety Boots / Shoes, Hi Vis Vest, Bump Cap. You should also have hand, eye and ear protection with you should you need it.

  • Make it known that the visit relates to Health and Safety, whilst other topics may be brought up by colleagues and it is important these are captured in the same way and acted upon, the primary focus of the visit relates to Health and Safety

  • Keep it informal

  • If you say you will do something, follow up and do it

  • Is the personal protective equipment in good condition and do they have access to replacements

  • Any equipment / tools being used in good condition

  • Does the colleague feel they have had sufficient training to fulfil their role

  • If working with Hydrogen, has the pre user visual inspection of the regulator etc been completed, do they have a copy of the operating instructions

  • If working on a bronze tower, have the anti vandal spikes been removed

  • If the colleagues feel something is unsafe, ask them how they feel it can be done safer

  • If the colleagues are working from height, do they have 3 points of contact at all times, e.g. 2 hands and 1 foot or 2 feet and one hand at all times

  • Do they have adequate resource to complete the work safely, e.g. if a 2 person job

  • Does the colleague feel they have the correct tools and equipment to complete the work

  • Do they have adequate first aid provision

  • How do they feel about working alone

  • Do they know what to do if they felt threatened when working alone

  • Do they feel supported when working alone, e.g. training, lone worker device, process

  • When did a manager / supervisor last visit them on site to complete an inspection

  • How are they in general, any signs of stress or mental health

  • Do they need any support with regards to stress / mental health (what can we do to help them)

  • Any issues - Near Misses which need raising that haven't been raised by the colleague (Please raise through the Safety Culture App)

  • Do the colleagues have the Safety Culture App on their work issue device

  • Does the colleague regularly raise near misses or accidents

  • Does the colleague feel near misses and accidents are acted upon

  • If they could change one thing to make their job safer, what would they change

  • Any sign or indication that profit is put before health and wellbeing of our colleagues, customers and local communities

  • Are colleagues aware of their responsibilities when it comes to health and safety

Guidance - After Visit

  • Have your planned follow up with your assigned Health and Safety Partner

  • Discuss any feedback, issues, findings

  • Agree any actions, create and assign within the visit inspection template

  • Follow up on actions

  • Ensure the inspection template is marked as complete
