Wet Stock Details

  • When were pumps last calibrated? Include results if available.

  • Is there a current fuel supply agreement in place? Obtain copy if possible. (who with, expiry date, relevant terms, etc)

Transferring Employees

  • Take photo of all current rosters and any available wage reports.

  • Are there employees to be transferred?

  • Provide Letter of Offer to any transferring employees, outlining their conditions of employment.

  • Complete new employment paperwork for transferring employees.

Supplier Accounts

  • Obtain list of all current suppliers, including contact details.

  • Complete credit applications for suppliers.

  • Advise suppliers of change of ownership - any previous outstanding balances to be the responsibility of the outgoing owner.

Telecommunications

  • Obtain copy of latest phone/internet bill showing all services to be transferred.

  • Identify what each service is being used for - list on bill copy.

  • Outgoing owner to complete necessary transfer paperwork.

  • Label all phone line wall sockets with service number. (If unsure, connect test phone and dial 1800 801 921).

Electricity

  • Obtain photos of last 6 months of electricity bills (front and back).

  • Check if site is on the correct tariff.

  • Obtain photo of switch board and any other important electrical components.

  • Obtain details and photos of canopy lighting and general lighting around the site.

  • Outgoing owner to complete necessary transfer paperwork.

Gas Supply

  • Obtain photos of last 6 months of gas bills (front and back).

  • Outgoing owner to complete necessary transfer paperwork.

Waste Services

  • Obtain copy of waste contractors bills and service agreement.

  • Review all charges and agreement terms against competitors.

  • Negotiate and complete new service agreement.

Water and Septic System

  • What mains water source is used to the site?

  • Does the site have a septic system?

  • Take photos of septic system and grease trap. Include size if known.

  • Obtain photos of last 6 months of bills for septic/grease trap pump outs (if applicable).

  • Include details of how septic system works (i.e. septic to drainage trenches, treatment plant, sewer, etc).

Kitchen and Food

  • Does the site require a food licence?

  • Obtain copy of current food licence.

  • Outgoing owner to complete necessary transfer paperwork.

  • Photo of current menu and pricing.

  • Photo and details of current coffee offer. (Include supplier, bean cost, etc)

  • Photo of current hotbox offer and pricing if available.

Hazardous Goods

  • Obtain copy of current Form 73, including all necessary details and site plan.

  • Review and update contents of Hazmat box.

  • Obtain copies of MSDS for all hazardous chemicals on site.

POS, Eft, ATM and IT Equipment

  • What POS and back office system is being used?

  • How may and what type of payment terminals are being used? (Include photos of terminal serial numbers, etc)

  • Are any surcharges currently being applied for card sales?

  • Is there an ATM on site? Include photo and details of any service agreements.

  • Take photo and details of back office PC. (Include brand, approx. age and any known specs)

  • Take photo and details of CCTV and security systems on site. (Include brand, age, able to be viewed online, etc)

Assets & Equipment

  • Obtain equipment list to be included in sale. Take photo of each item listed and list any relevant details (age, condition, issues, etc)

  • Obtain list of any leased or supplier owned equipment. Take photo of each item listed and include details of the arrangement.

Figures and Reports

  • Obtain last 3 years Shop and Fuel Sales data (or as far back as system allows).

  • Obtain figures of relevant fuel card volume at the site (i.e. percentage of BP Card/Starcard, etc).

  • Obtain list of any customer accounts, including full customer details and credit terms.

  • Advise account customers in writing of pending change of ownership and new credit terms.
