Duty Manager Checksheet

Duty Management Preparation

  • Have you checked Preoday for orders?

  • Have Box Office printed any tickets for collection?

  • Are the ticket scanners ready and logged in?

  • Have you cleaned welcome desk, scanners and any other equipment?

  • Do you have a radio and made sure Box Office and Tech are on radio?

Weekly Water Flushing

  • Is today Friday?

  • The purpose of these checks is to ensure, as far as practical, that the flow of water around the building is sufficient so that water does not become stagnant within the pipes and fittings. Should water be allowed to stagnate there is an increased risk that Legionella Bacteria will develop and spread.
    Water flushing and running of infrequently used services.
    Please run all the hot and cold water taps in the following areas for 5 minutes. Apart from the main toilets

  • Admin sink

  • Box Office Kitchenette sink

  • Kiosk Sink

  • FOH Male Toilet sinks (press and hold for 30 secs on each tap).

  • FOH Female Toilet sinks (press and hold for 30 secs on each tap).

  • Kitchen hand washing sink by door

  • Kitchen pot/glass washing sinks by dishwasher

  • Kitchen hand washing sink by windows

  • Kitchen food prep sinks under windows

  • Where the oven and the hot water boiler used to be, the water supply needs to be flushed into the drain using the hose pipe attached to the blue isolator.

  • Kitchen water supply pipes

  • Bar hand wash sink by cellar door

FOH checks

  • Are all the chains off and on the doors?

  • Has the Chains Book been signed?

  • Are all the fire exits clear from the foyer area?

  • Are all the lights on that need to be? There is no dark areas in the public access areas.

  • Are there any issues with the outside steps? THINK Slip, Trip, Fall.

  • Are there any issue with the inside staircases? THINK Slip, Trip, Fall.

  • Have you checked the carpeted areas and are they safe to use? THINK Slip, Trip, Fall.

  • Are all the toilets ready to use by the public?

  • Are the grab rails in the accessible toilet secured to the walls? Test them by pulling and putting your weight on them

  • Is the furniture layout of the foyer ready for the show?

  • Have you checked the bins for any unusual items in them?

  • Is the foyer atmosphere OK?

  • Does the announcement mic work and is the music playing?

  • Are the FOH screens on and displaying content?

  • Are the hospitality staff ready?

  • Are the technical team ready for the show?

  • Are the box office staff ready for the show & had a briefing?

  • Have you checked with the technical staff about wheelchair seats?

Auditorium Checks

  • Are there programmes or merchandise to sell?

  • Is the auditorium clear and ready for the audience?

  • Has the Hospitality staff had their H&S briefing?

  • Do you have all the volunteers and have you given then the H&S briefing?

Hospitality Fire Evacuation Briefing

  • The duties of the Hospitality staff

    Non Performance Times

    • On hearing the alarm/seeing the emergency beacons lit, secure monies in till and assist in evacuating visitors from the foyer areas.
    • Proceed to the assembly point
    • Attend the staff roll call

    Performance times

    • Pre Show/Interval - On hearing the alarm/seeing the emergency beacons lit the nominated Catering Fire Warden should proceed to Box Office and await instructions from the Duty Manager.
    • Mid Show (where there are no or less than 10 patrons in the foyer) - On hearing the alarm/seeing the emergency beacons lit secure monies in tills, lower the bar shutter etc, assemble by the Box Office and await instructions from the Duty Manager
    • ALL other staffs continue to serve and await instruction from the Catering Fire Warden or Duty Manager.
    • If a decision is made to evacuate it is the Catering Fire Warden’s responsibility to inform the rest of the catering and kitchen staff
    • The Catering Fire Warden will be responsible for locking the Coffee Shop till behind the bar and lowering the shutter prior to evacuating.
    • Carry out duties as requested by the Duty Manager and when complete proceed to the assembly point.
    • Attend the staff roll call.
    • Other duties may include, but are not limited to: evacuation of FOH toilets, checking the Green Room & Board Room, directing patrons to fire exits, colleting signing in books/fluorescent jackets and loud speaker, taking roll call, help to secure Box Office, preventing patrons from moving their vehicles

    When Box Office staff are not present Duty Manager is responsible for collecting the fluorescent jackets and loud speaker Grab Box that underneath the staff signing in area.
    Scanning staff up to 20:00
    Pre show – will stand at the front doors and move people to the Evacuation Point and stop people entering the building when arriving

    • You are responsible for your door throughout the performance. You must attend your door at all times and only leave your door in exceptional circumstances.
    • In the event of evacuation, you must command the audience to leave via your door. You must speak loudly and clearly stating “This way out please, this way out please” until the auditorium is clear.
    • Once the Duty Manager instructs you to do so, you must then follow through your door checking that the route is clear, closing doors behind you on route and meet at the meeting point behind the theatre and report to the Duty Manager.
    • In the event that your exit is not clear, you must direct the patrons to the nearest alternative emergency exit stating “That way out please, that way out please” whilst pointing to the other exit. In no circumstance should a patron leave through your door, you must block your door, as this could endanger the lives of the patrons in the auditorium and the patron that has left through that door.
    • Once out of the building you must ensure the patrons do not re-enter the building and stay in the Assembly Point.

Door Pager System

  • Reminder to the staff.
    • The doorbell button doesn’t need to be pushed hard they will operate with a small amount of pressure.
    • They will take 5 second to reset then you can press them again.
