Responsibilities & Authorities

  • Is there a Contractor representative responsible for environmental management on site?<br>

  • Does this person, irrespective of other duties, retain responsibility for implementing the CEMP, the Contractors EMP and legal and other obligations?

Environmental Awareness & Training

  • Does the Contractor provide environmental training, for topics relevant to their scope of work, for it's employees and subcontractors?<br>

  • What were the mechanisms for environmental training (ie pre-starts, toolbox, Contractor Inductions, courses, etc)?

  • Are attendance records/training materials available on site?

Communication

  • Has the Contractor identified and documented communication mechanisms for the project?

  • Is there evidence of communication of significant risks to key Contractor personnel, including subcontractors?

  • How is the CEMP and Policy communicated to workforce?

Document Control / EMS Documentation

  • Are there procedures for control of documents, including drawings?<br>

  • Is there a register of controlled documents?

  • Is the Contractor aware of, and using, relevant EMS procedures, form or other EMS documentation created by the Client?

Control of Records

  • Is the Contractor aware that EP requires all records to be retained for a min of 7 years?<br><br>

  • Is there a process in place to ensure that records are retained for 7 years?

  • Are all records maintained on site (e.g. training registers, waste data etc) demonstrating compliance with the CEMP for the length of the contract maintained?

  • Were records available on site at the time of the audit?

  • Was all Monthly Environmental Reporting submitted with supporting documentation?

  • Was all required photographic and written documents submitted and of the required standard?

Incidents & Corrective Actions

  • Is there a clear understanding of what constitutes an environmental incident?

  • Is there a clear understanding on the incident reporting process (i.e. who will be notified and timeframes)?

  • Were all incidents investigated, with correct incident report forms completed and submitted to the Client within agreed timeframes?

  • Are appropriate corrective actions identified when an incident occurs?

  • Does the Contractor maintain an incident and corrective action register?

  • Are corrective actions being closed?

  • Have any significant incidents occurred?

  • If yes for above, have risk registers or procedures (e.g. JHAs) been reviewed accordingly?

Monitoring & Reporting

  • Is monthly data being provided to the Client SEA within agreed timeframes?<br><br>

  • Is the correct monthly report form being used?

  • Is the monthly report form complete (i.e. contains appropriate data)?

  • If the Contractor undertakes monitoring services for Calibre: <br>a) is the Contractor following/using relevant monitoring procedures & forms created by the Client?

  • b) if the Contractor has developed their own monitoring procedures, have these been approved by the Client?

Emergency Response

  • Does the Contractor have a copy of the Client's Site Emergency Management Plan?

  • Can the Contractor demonstrate an understanding of the emergency response procedures for the Site?

  • Are emergency response procedures communicated to personnel, including subcontractors?

Inspections & Audits

  • Was a work area specific weekly environmental site inspection checklist developed that was appropriate?<br>

  • Was the Environmental Site Inspection Checklist used during inspections and are records maintained on site in an auditable file?

  • Were non-conformances and hazards identified during inspections, documented and addressed with appropriate corrective and preventative actions and rectified within an agreed timeframe?
