2. All Board members must complete the Adsafe requirements of Awareness Training, Code of Conduct and Working with Children Check regardless of their portfolio.

3. Appoint an Adsafe Responsible Officer (ARO).

4. Advise Adsafe of the details of the ARO.

5. Appoint an Adsafe Compliance Assistant (ACA).

6. Advise Adsafe of the details of the ACA.

7. Determine whether the ACA role is a Board position to champion child safety.

8. In any transition between an ARO and/or ACA, ensure that the ARO/ACA duties as listed in the sections below are executed including having contingency plans should an officer be stood down for non-compliance.

9. The Board Meeting has a standing item on its agenda called “Child and Vulnerable Person Protection” in which it receives compliance reports and notifications of identified child safety risks.

10. In addition to the roles that Adsafe defines as Child Related, the Board determines which other positions (if any) are assessed as Child Related at the local Church.

11. Regularly review the compliance of those in Child Related and Board/Leadership Roles against Role Requirements including WWCCs.

12. Be aware of, and prepared for, the Office of the Children’s Guardian undertaking a WWCC or CSS compliance audit on the local Church.

13. Implement a procedurally fair process to handle complaints.

14. Be aware of the process for handling disclosures and allegations of abuse and harm.

15. Oversee an effective handover process when the role of ACA passes from one person to another, or a new ARO enters the role.

16. Coordinate child safety Risk Mitigation in Church activities, programs, and events with:<br>a. A Safety Officer to coordinate Risk Assessment and Management (RAM) or

b. Alternatively, each Activity Leader must submit a RAM plan to the Board.

17. Regularly review submitted RAM plans to ensure that the risks associated with Church activities are appropriately managed.
Nominating Committee
-
1. Prospective appointees to positions in the Church are screened with Adsafe to ascertain whether they represent a heightened risk prior to appointment.

2. Check at least three (3) referees if potential staff and volunteers who are new to the church or serving for the first time.

3. All candidates for child-related or governance roles have served the necessary waiting periods.

4. Ensure that all staff and volunteers being considered for defined (as per Adsafe Policy) or assessed (as per the local Church Board) child-related roles meet Adsafe compliance requirements.
3 Adsafe Responsible Officer (ARO)

1. Support effective communication between the Board, ACA and church leaders and members to ensure child and vulnerable person safety is a priority.

2. Support the ACA in their work of encouraging compliance.

3. Support the Nominating Committee in its work.

4. In collaboration with the Board and/or Leadership Team, ensure that:<br><br>a. persons who fail to meet the Role Requirements prior to taking up that role are not appointed or

b. persons already in a role who later become non-compliant, are stood down.

5. Appropriately receive and manage disclosures of alleged abuse and seek advice from Adsafe if necessary.
Adsafe Compliance Assistant
-
1. Establish and maintain a record-keeping system to ensure up-to-date records are kept on the compliance of those in child related and Governance Roles.

2. Oversee and update (as necessary) the Church’s NSW Office of Children Guardian (OCG) employer registration and maintain WWCC records as outlined in the Working with Children Check Guidelines (NSW) V1.0.

3. Notify the ARO of those appointed to child related and governance roles who do not meet or have ceased to meet the role requirements.

4. Encourage and assist volunteers to complete Adsafe compliance requirements and use the Team View in the e-learning platform to monitor compliance.

5. Display Adsafe and other related posters (including a Commitment Statement) around the church building.

6. In collaboration with the ARO prepare reports for Board/Business meetings.
Activity Leader
-
1. RAM plans are routinely prepared for each activity and submitted to the Church Board for approval.

2. RAM plans assign risk management responsibilities to identified staff and these are routinely implemented. RAM plans should be reviewed if and when there are changes in strategies, to mitigate identified risks.

3. Persons with Risk Responsibilities (PWRRs) are informed of their risk management responsibilities and are adequately supervised to ensure these risks are suitably managed.
