Step By Step Procedures

Brief Outline.
To safely guard all people within the building, secure the safety of the building, inform emergency services and MIP Team in the event of a Major Fire. -
PPE Required, various in the Yellow Crisis Management Bag. This can be found in plant room.

Activate your nearest manual fire alarm if the alarm has not already sounded.

Begin evacuation procedures based on the Fire Evacuation Procedures.

Ask colleague to call 999 and state the nature of the call, services required and location.

Evacuate the building and proceed to a safe distance on the grass behind car park assembly point.

If there is a large amount of audience and it is required, relocate to Mecca Bingo located on the Uxbridge Road, accompanied by Silver (and assigned staff). Contact Mecca Bingo to inform them of the situation on 020 8573 1480.

Inform available MIP members on the contacts list.

Silver and Bronze to attend the site if not already there.

Silver or Bronze to begin and refer to the Major Incident Checklist.

Silver to share with Gold at HQT&H.

Liaise with the emergency services.

Debrief the incident and any learnings found to be fed into the review of procedures.
Major Incident Checklist
-
First member of Team at the scene informed of incident. Ensure that the site is safe. Remove or isolate any hazards.

Brief members on current status and advise the rest of the Team where recovery operation will be convened.
-
Contact Major Incident Lead and Major Incident Operational Lead, investigate if an applicable Major Incident Procedure is on file and prepare to invoke.

Where a Major Incident Procedure is not in place, MIL/MIOL to liaise and produce reactive Major Incident Procedure, using existing procedures as appropriate.

MIL/MIOL assume control of the incident, and liaise with the Operational Team and on the ground team to manage the incident in line with the relevant Major Incident Procedure. If not possible to attend site personally, MIL/MIOL to nominate deputies to take direct control.

Major Incident Lead to notify the Head Office Support Team Lead: Business Hours 07703 316 317 or 020 7430 5373 After Hours 07528 666 415 or 020 8698 8105 Provide them with your name, contact number, venue details and the nature of the emergency.

If impact to business appears to be minor, contact other Team members as appropriate to discuss and agree action.

Identify any casualties.
-
If the health and safety of the public, staff or contractors is at risk, ensure that the site is secure. Access must only be authorised by the emergency services, enforcement authorities, or MIL/MIOL.

Identify any third parties involved at the site and ensure they are informed of the situation.
-
Identify any requirements for additional resource and instruct HOD’s as necessary.

Contact Council Property Services to attend site.
-
Redirect callers at the Incident site (e.g. supplier deliveries).
-
Monitor and communicate progress to key stakeholders.
-
Follow Major Incident Procedure through, keeping notes as to revisions that may be necessary, utilising the tracking documents provided.

MIL/MIOL to commence creating a recovery plan if deemed necessary.

Notify Insurance Brokers of the situation.
-
Update the Head Office Support Team on how the incident is likely to affect the business in the next 48hrs.

Schedule regular updates with key stakeholders (Council etc).

If the building is safe, collect any items required, including the NAS Back-up device.
-
Identify the cause of the incident and begin repairs. Supplier details are listed in Appendix 3.

Arrange welfare facilities for Major Incident Team if extended hours are being worked. Consider using deputies to allow for rest and meal breaks.
