  • The following guidelines are to provide clarification on the communications protocols that security personnel must follow during the out of hour’s period in respect to reporting urgent and non urgent matters:-


    Urgent Matters

    All urgent matters should be called through to Proactive Management immediately.

    Definition of urgent matters

    • Serious Health and Safety matters
    • Intrusion on site
    • Theft / damage / vandalism to clients assets
    • Fire
    • Water leaks
    • Serious security risk to staff and clients assets
    • Request for access without prior notification


    Non Urgent Matters

    All non urgent matters are to be logged in at the end of your shift by a telephone to any Proactive Management staff/operations listed below.

    Definition of non urgent matters (please note this list does not cover every eventuality but provides an example)

    • In accessible checkpoint’(s)
    • General observation that requires attention
    • Improvements to maintain security of the site
    • Refused access
    • Client visits

    For all urgent and non urgent logs these should also be recorded within the note book located within the security case. Please ensure that a detailed log is written in clear hand writing including the following:-

    • Date
    • Time
    • Your name
    • Description of events/ occurrence
    • Full names of third parties if applicable
    • If applicable vehicle registration, make, colour
    • Root cause
    • Action taken
