Pathways, Grounds, Car Parks, Gates and Boundary

Pathways, Grounds, Car Park & Boundaries

  • Are the boundaries (walls, railings or fencing) secure and in place? <br>Look for cracks in walls, there should be no vegetation growing out of walls. Is there any broken/missing railings and fencing.<br>

  • Is access for persons with disabilities working as intended and there is no damage? <br>Look at access adaptations i.e. ramps/handrails, are they secure there is no signs of damage or need for repair.

  • Where there are controlled access to the scheme (Automatic Gates/Manual Gates/Barrier/ Pedestrian Gates) do these open and close as installed? <br>Do the Sensor/Fob or Code Controller work, and there is no damage or need for repair? Are the sensor guards present and working?

  • Where you have an Automatic Gate/Barrier is the required user instruction and safety signage present? <br>Look to see that the instruction/safety signage present and visible? Look to see that road marking are present and clear.

  • Are scheme road surfaces in good order? <br>Internal roads should be level, there should be no large cracks more than 2cm, free of pot holes, free of vegetation growth and clear of dumped items.

  • Are road and car parking markings, including signage present and clear? If there are disabled or electric car charging parking bays are these clearly marked.

  • Where the scheme has a restricted driving speed is signage present and clear?

  • Are there any vehicles on site that appear to be abandoned or badly parked?

  • Are paths and ally ways in good order and safe to use? <br>They should be well lit and clear of large vegetation growth, walking surfaces should be level and secure i.e. rocking paving slabs. There should be no cracks more than 2cm, width and depth.

  • Are all drain and manhole covers present, secure and clear of debris/leaves? <br>Look at all communal areas, pathway, parking areas, grassed areas, refuse areas.

  • Where there is communal seats, benches and tables are they fit for purpose and safe to use? <br>Look for sharp protrusions such as nails or splinters of wood/metal.

Lighting

  • Does the external lighting within the grounds appear to be secure, safely installed and in working order? <br>Look for exposed wiring, missing/damaged light covers, PIR not working

CCTV - Within the grounds

  • Where there are CCTV cameras, are these secure to the wall and there are no obvious signs of damage?

  • Is CCTV signage present and visible to visitors? <br>Look for a sign next to each camera.

  • Have you checked that the CCTV system is working, and the recording settings are in line with our policy? <br>Look to see that the recordings are clear, date and timed correctly and the time that we store the data is in line with our policy.

Store Areas

  • Is the bicycle storage (racks) present and area secure and fit for purpose? If the storage is enclosed, is access secure and is the lighting working?

  • Do any bicycles or other items in the store appear to have been abandoned or not used for some time (cobwebs/flat tyres)? <br>Look for the area, is it being used for storage of other tenant items that should be removed in addition to abandoned bicycles.

  • Where there are external post boxes, do these appear undamaged and are they secure to the floor/wall? <br>Look for broken post box doors or lock, are any of the post boxes overflowing with post?

  • Are there any items left on the estate/site that appear to have been dis-guarded/thrown away by a tenant? <br>Look to see if you can identify who the items belong to.

Refuses & Bins

  • Is a salt bin present on site, full and is the bin undamaged? <br>If no, check with Environmental Services if one is required.

  • Are all refuse bins easily accessible and clear of abandoned rubbish and bulk waste? Look for any damaged bins that we need to report to the council.

  • Where there is a smoking area and bins around the estate are these clean and are the bins secure to the floor/wall and undamaged? Look to see that they are not overflowing and are clear for tenant use.

Signage

  • Where you have fire assembly/muster points signage is this clear to all tenants and all visitors? <br> Look for obstructions – bins, bushes, tree branches, are these in the way. Is the signage old, fading and needs to be replaced.

Cleaning & Ground Maintenance

Grassed Areas & Pathways

  • Are the external areas of the scheme clear of weeds? <br>Look at all ground surfaces, grass, gravel, pathways, flower beds.

  • Are the shrubs, hedges and boards pruned, shaped, healthy and kept below windowsill level, where applicable? <br>The area must look attractive, any dead/diseased wood or plants should be removed. There should be no jagged broken wood or torn bark, which could injury a person.

  • Are grassed areas and edges neatly cut and not growing onto pathways? <br>Look for any clumps of cut grass leaf in wet weather, are there any bald patches in the grassed area and planted/shrub areas should not be mowed over.

  • Are paths, un-adopted roads and scheme entrances/exits clear of obstructions or hazards? Look to see that these areas have been swept and are clear of debris. Is surface water able to drain away, are there any blocked drains or gullies.

  • Are the external grounds free of litter, mess, garden rubbish and dropped rubbish?

  • Are external walls, boundaries and fenced areas free of graffiti and other markings?

  • Has all estate waste been removed from site? <br>Look for any garden waster (grass and tree cuttings) that has been left on site.

Common Areas - Refuse, Play Grounds, Bicycle Store, Drying Areas

  • Is the bin room in a clean and sanitary state for use? <br>Look to see that the area is free of dumped rubbish, litter and fouling. These areas are to be pressured washed and disinfected. Look to see that gutters above or attached to the bin room are clear of leaves and debris.

  • Is the recycling area in a clean and sanitary state for use?

  • Is the playground in a clean and sanitary state for use?

  • Is the bike store in a clean and saintary state for use?

  • Are the areas in and around the washing line clean and clear of litter or rubbish?

Health & Safety, Services & Summary

  • Have you noted any services which need to be included, which are not currently being carried out?

  • Are the riser cupboards, clean, clear and closed?

  • Are there any visible Health & Safety concerns relating to the trees on the scheme?

  • Following your inspection has the standard of ground maintenance, PASSED OR FAILED?
