SHIFT CHECKLIST (ALL SHIFTS)

  • PROGRAMS: Ensure that all required programs are open on your desktop * Email, * Q-Clubs, * Trello, and * Teams * iAuditor (this shift checklist is to be completed from the main computer) Refer to the black book at reception for passwords if required.

  • HANDOVER: Review handover notes from previous shift (located in email inbox) Read/action/follow up where required.

  • EMAIL PROCEDURE: Read/action/follow up where required. Please delete emails that you have completed/actioned. NEVER delete items in the deleted box, and If you are unsure how to reply to an email, leave it in the inbox and make reference to it in your handover notes. *Note: Review signature block templates, as we have various template replies to common communications that can be utilised. Please also ensure that you add you name to the signature block used for all communications.

  • QCLUBS: Open QClubs Refer to Bookings/Onsite Staff Appointment List, and prepare for any face to face appointments, including Function room handovers, finger scan appointments

  • QCLUBS: Open People/Induction List, and action any outstanding inductions. *make all relevant notes on this screen if an induction remains incomplete during your shift (include this detail in your handover)

  • TRELLO BOARD:<br>Check for outstanding items - Review all follow up dates, if a date has past – please investigate and add your follow up notes, and add a future follow up date if further action is required. If you were unable to update a card with an overdue follow up, or if you are yet to receive training in this area, please include this in your handover notes.

  • MICROSOFT TEAMS:<br>Open teams on your desktop <br>Check for any outstanding communications in 'chat' and respond where applicable.

iAuditor

  • BUILDING CHECK: Complete a walk through during your shift and send the iAuditor report to your computer (to be included in your handover)

  • FUNCTION ROOM HANDOVER:<br>To be completed on iAuditor if carried out during your shift

  • OPEN SHIFT CHECK LIST (as relevant to your shift)

  • SHIFT DUTIES CHECK LIST (all shifts)

  • CLOSE SHIFT CHECK LIST (as relevant to your shift)

  • REPORTS:<br>All completed checklists are to be included in your handover email (directions on how to attach are located in the black book at reception)

Plant Room

  • POOL TEST:<br>Complete the four hourly pool test as required during your shift, <br>Record all details in the water testing register in the plant room (including all corrective, and/or dosing measures taken).

  • BACKWASH: Indicate which filter/s you backwashed during your shift, and any additional information.

Quiet Period Expectations

  • CLUB WALK THROUGH:<br>Carry out a club walk through every 30minutes during reduced activity periods, including pool deck/tennis court/plantroom. *pick up any items that may be out of place/require attention.

  • GYM EQUIPMENT:<br>Wipe down during your shift (cleaning materials in cleaners cupboard)

  • RESIDENT INTERACTION:<br>Brief interactions with residents to create connection.

  • TRAINING ITEMS:<br>Review any training items that will assist in your knowledge/skill set during shift.

  • INCLUDE IN YOUR HANDOVER: Any items completed from the 'Quiet period expectations' are to be included in your handover notes.

HANDOVER EMAIL

  • Should you require to elaborate on 'any' item in this check list, please include this detail in your hand over email.

  • All iAuditor checks - generate a report and include it with your handover email.
