Assessment

Policy

  • Does the latest company policy(ies) correctly reflect the latest requirements for staff to self isolate in the event they display symptoms of Coronavirus?

  • NOTE: On the 16th of August, this is likely to be updated to remove the requirement for fully vaccinated staff to self isolate themselves upon close contact with someone who has tested positive (England Only).<br><br>Any staff who are in close contact with an individual before this date not fully vaccinated must self isolate and get a PCR test.

  • Has the policy arrangements/clarifications on self isolating been communicated to staff?

Ventilation

  • Is there an adequate amount of natural/Mechanical ventilation within the workplace and if so, how is this implemented for both summer and winter months?

  • This can be the opening of windows and doors or mechanical means by systems that pull in fresh air from the outside and DO NOT recirculate the air from within the workplace. <br><br>Can outside space be used instead for things such as singing or a lot of vocal requirements?

  • Have these areas been confirmed through using Co2 monitors in place to assist in identifying poorly ventilated areas?

  • CO2 Guidelines:<br><br>Outdoor areas are generally 400ppm so the best ventilation.<br>Indoors areas that are 800ppm or less are considered as good ventilation. Any higher then it is likely that action will be required.<br>1500ppm is the figure considered by the government as very poor ventilation and this should be actioned immediately.<br><br>Monitors are not effective in areas of low occupancy, toilets, and areas where air filtration systems are used (as these don't filter Co2 but can filter Covid-19 particles).

  • Are there any vulnerable areas identified which would likely create a poorly ventilated area?

  • Where poor ventilation is present (such as a confined space) and ventilation cannot be improved, are there restrictions on the numbers of staff within this area at any one time?

Workstations

  • Sanitisation facilities

  • Are there best practices in place to limit general contact through teams (cohorting) or partnering?

  • Are there best practices in place to limit face to face working at workstations?

  • Social distancing is no longer required by law but barriers can be used but only recommended where close proximity is necessary and required (also consider vulnerable persons and whether they would feel uncomfortable being singled out?)

  • Hot Desking or sharing a desk?

  • Cleaning regimes in place?

Reduced Staffing Arrangements

  • Staff members able to return to work safely after working remotely taking into consideration individual needs?

  • So this could be for example, agreeing not to ask them to return to the office unless they have confirmed they are now double vaccinated<br><br>Or, this could be staff who are desperate to return to the office and have not been asked about this yet in a one to one.<br><br>Those who are clinically vulnerable are no longer required to shield but may need to be put in touch with additional support networks to reassure them into coming back to the workplace.

  • Have staff been briefed on the current protective arrangements within the workplace so they have a good understanding of the protective measures in place?

Cleanliness/Regimes (excluding hand sanitiser)

  • Are there current washing facilities in place which would satisfy the Workplace (Health, Safety & Welfare) Regulations 1992?

  • Common touched equipment (Printers,fax, communal telephones, whiteboards etc.)

  • Common touched/heavily used areas (doors, handrails, surfaces such as reception desks etc.)

  • Are the regimes recorded to demonstrate they are being completed as required by company policy?

  • Are appropriate facilities in place to keep high levels of hygiene such as paper towels/hand dryers over washable hand towels etc. especially around the canteen and toilet facilities?

Waste

  • Are waste facilities in place and capable of current output capacity including for items such as used PPE or face coverings?

  • Waste handling arrangements and frequency

Visitors/Deliveries

  • Are there clear instructions for visitors on reducing the spread of Coronavirus when they arrive?

  • Induction documentation, signage information, website information etc.

  • Deliveries Arrangements

  • Designated delivery areas? Hand Sanitiser available for handling parcels etc?

  • Are visiting Restrictions/Arrangements in place to limit the numbers of staff that are in contact with others outside of their working environment?

  • This would be like separate entrances for visitors to avoid the main workforce for example. Or restrictions on delivery arrangements.

Face Coverings

  • Are there precautions in place for the requirement of face to face dealings with visitors?

  • Face coverings could be encouraged for this here where appropriate.

  • Are there any confined/crowded spaces in which face coverings would be considered as an advisory?

  • Do any policies on face coverings in the workplace consider medical restrictions or considerate of others who may require to lip read?

  • Where policy dictates or employees choose to wear face coverings, has the company provided relevant information to them on how to properly wear and handle face coverings?

Workplace Movement

  • Sanitisation facilities around entry/exit and door areas

Meetings

  • Are remote conference facilities still utilised as a best practice? (Telephone, media etc.)

  • Is the room for face to face meetings considered as well ventilated?

  • Is equipment provided for face to face meetings enough for all individuals present (no sharing etc.)?

  • Are sanitation facilities available for face to face meetings that take place?

First Aid

  • Protective Equipment

  • First aid coverage where reduced staffing numbers are still present (have not returned to the workplace)

Fire

  • Fire warden Coverage where reduced staffing numbers are still present (have not returned to the workplace)

Signage

  • Are there Instructional hand washing techniques and hand sanitising information on display throughout the workplace?

Travel

  • Company vehicle (pool car) cleaning arrangements

  • Are those who travel to work with other colleagues encouraged to stick with the same travel partner and keep vehicle windows open partially/fresh air ventilation on in vehicle to provide adequate ventilation en route?

Monitoring

  • Are Covid Champions/effectiveness monitoring programs in place especially around hygiene and cleanliness?

  • Are temperature checks in place for entry onto Premises?

Escalation program

  • Is there an escalation program in place for a Covid-19 outbreak in the workplace and reporting such outbreaks to the local SPOC, authority or Public health England (where applicable)?

  • Does the escalation program take into consideration for local lockdowns that could happen in the future?
