  • Does the meeting room have a booking Panel ?

  • using the Booking panel, Create a new meeting for the AV service. Check that the booking is correctly displayed on the booking panel.

  • Confirm the booking is also displayed on the main screen in the meeting room.

  • Photo of confirmed room booking.

  • Does the meeting room have a Projector

  • Please ensure projector is correctly aligned and in focus.

  • Please record Lamp Hours

  • Please record Filer Hours

  • Inspect screen/s, wipe all marks from screen surface and surrounds, clean top of screen to remove dust build up.

  • Does the meeting room have hearing augmentation system?

  • Check receivers are present

  • Check receivers are charging

  • Check for the correct number of neck loops or headphone

  • Connect headphones to receiver and confirm clear audio can be heard

  • Does the meeting room have a LCD screen

  • Number of screens

  • Inspect screen/s, wipe all marks from screen surface and surrounds, clean top of screen to remove dust build up.

  • Check that screen power ON & OFF times are set correctly ( AV Working Hours 8:00am-6:00pm )

  • Ensure all cables and devices associated with the screen or projector are dressed and tidy and not visible from a user position in the room.

  • Does the Meeting room have a control or button panel ?

  • Check spelling and room name.

  • On the technician page, Check that screen power ON & OFF times are set correctly ( AV Working Hours 8:00am-6:00pm )

  • Check that all functions are working correctly ( I.E Mute controls, Volume controls, Power controls, Lighting controls ECT )

  • Does the room have a VC unit?

  • Place a test call to 'test_call@vc.pmc.gov.au' and follow the voice prompts.

  • Perform a test phone call and check that you can hear the far end audio and the far end can hear the meeting room

  • Ensure the VC User guide sticker is attached to the meeting room table and is in good order.

  • Ensure the VC unit is connected to the network

  • Ensure the VC touch panel is connected to the network

  • Ensure that the VC camera is correctly placed and framed to capture the user area

  • Connect a laptop to the HDMI input and ensure content is able to be shared

  • At the conclusion of testing the VC unit, cables are to be coiled neatly to the side of the VC unit

  • Ensure cables mounted to underside of conference table are secure. Repair as necessary

  • Check that the HDMI content cable is in good order. Replace if necessary

  • Ensure the DP to HDMI / USB C adaptor is attached to the HDMI cable. Replace if missing

  • Check that the correct number of chairs are present, surplus chairs to be placed along meeting room wall.

  • Once completed take a photo showing the completed room.

  • Technician notes.
