4.1. - Lighting

  • 4.1.2. Light fittings are cleaned annually to ensure consistent luminance and this is recorded?

  • 4.1.3 Light fittings are tested monthly to ensure safe operation and this is recorded?

  • 4.1.4. Exterior lighting is checked quarterly to ensure adequacy and correct functioning and this is recorded?

4.2. Heating

  • 4.2.1 Heating systems are checked twice a year to ensure that they provide local heating which is adequate to meet statutory minimum requirements and this is recorded?

  • 4.2.2. Heating inadequacy - complaints recorded and remedial action taken as necessary?

4.3 Ventilation & Extraction

  • 4.3.1- Ventilation and extraction equipment is maintained as required to ensure that it is operating safely and effectively and this is recorded

  • 4.3.2 - Ventilation and extraction equipment is cleaned according to manufacturers instructions, statutory requirements and/or set cleaning regime and this is recorded

  • 4.3.3. Ventilation and extraction equipment is tested and serviced quarterly according to manufacturers instructions and this is recorded?

  • 4.3.4. Where faults occur these are rectified by qualified contractors or personnel and reports of remedial actions are recorded and communicated.

  • 4.3.5 - Glazing is inspected as compliant with Regulation 14 and records kept of compliance works undertaken?

4.4 - Air-conditioning

  • 4.4.1- Air conditioning equipment is maintained as required to ensure that it is operating safely and effectively and this is recorded

  • 4.4.2 - Air conditioning equipment is cleaned quarterly according to manufacturers instructions, statutory requirements and/or set cleaning regime and this is recorded

  • 4.4.3. Air conditioning equipment is inspected, tested and serviced at statutory intervals (annually) according to manufacturers instructions and relevant guidance and this is recorded?

  • 4.4.4. Where faults occur these are rectified by qualified contractors or personnel and reports of remedial actions are recorded and communicated.

4.5. Cleaning and Hygiene

  • 4.5.1 - All spaces are cleaned daily and records kept?

  • 4.5.2 - Toilets and showers cleaned daily and records kept?

  • 4.5.3 - Measures in place and operated for ensuring clean up of spills including biological and this is recorded?

  • 4.5.4 - Pest control - regular inspections carried out according to local requirements, recorded and findings acted upon?

5.0 - General Building Safety

5.1 - Common and service areas

  • 5.1.1 - Internal finishes and surfaces maintained in safe condition and this is recorded?

  • 5.1.3 - Access equipment to entry and circulation routes, including automatic doors, self closing doors, maintained in good working order to ensure safe access and egress and this is recorded?

6.0 - Electrical Systems Safety

  • 6.1 - HV electrical tests and inspections carried out annually with full test every five years and this is recorded?

  • 6.2. - LV electrical tests and inspections are carried out by annual sampling and full test every five years?

  • 6.3. - Safety switches and emergency gas and electrical shut down systems are tested annually and this recorded?

  • 6.4. - RCDs are tested quarterly and this is recorded?

  • 6.5 - Portable equipment is tested annually, tagged and this is centrally recorded?

  • 6.6 - Physically damaged circuits, systems, appliances are removed, replaced or repaired by qualified persons and this is recorded?

7.0 - Control of Substances Hazardous to Health (COSHH)

  • 7.3 - Risk assessments are completed for use of hazardous substances, recorded and resulting procedures shared with staff?

  • 8.2 - All ladders, including fixed ladders, and towers are checked monthly and maintained in good condition and records kept?

  • 8.3 - If used for electrical work they are non conductive? (Wood or fibre glass.)? Record of use informs changes to equipment supplied and used?

  • 8.4 - They are used according to manufacturers' instructions, method statements and risk assessments which are held/displayed for easy reference?

  • 8.5 - For extension ladders, ropes, pulleys and treads are in a good state of repair and maintenance records are kept?

  • 8.6 - Gantries are used in accordance with separate risk and method statements which are easily available for reference?

  • 8.7 - Lifting equipment is serviced according to manufacturers's recommendations and statutory requirements and records are kept?

  • 8.8 - Cradle systems and hoists are maintained according to manufacturers' instructions and inspected, tested and serviced at regular intervals using appropriate guidance e.g. BS7121-2 and this is recorded.

  • 8.9 Passenger lifts are tested and serviced quarterly and this is recorded .

  • 8.10 Eyebolts are tested annually (insurance) and this is recorded?

  • 8.11 Gym and sports equipment is inspected, tested annually and maintained according to manufacturers' recommendations and this is recorded?

  • 8.12 External play equipment is inspected, tested annually and maintained according to manufacturers instructions and taking account of usage and weather conditions and this is recorded?

  • 8.13 Folding wall systems inspected, tested annually and maintained according to manufacturers' instructions and this is recorded?
