Guidance Notes

  • Q). Why am I required to carry out Executive Site Visits?
    A). It is crucial that business leaders are actively engaged (and highly visible) in the management of health and safety. These visits are designed to help you discharge your legal responsibilities and to provide you with a level of satisfaction that adequate safety standards are being maintained.

  • Q). How do I approach the Executive Site Visit?
    A). You are free to conduct the visit in your own style. (Note: lead by example - be sure to observe all safety precautions and procedures including the wearing of protective clothing and equipment as identified by local management).

  • Q). Will I be expected to have a detailed knowledge of health and safety law?
    A). No. Recognise your limitations (in health and safety knowledge and experience) and seek appropriate advice and support as needed. Remember the experts are the ones doing the work, ask them.

  • Q). Who should I talk to on site?
    A). It is essential that you engage in conversations with front line operatives. If you want to know what's going we'll, what's wrong and where help is needed ask and listen

  • Q). I am keen to optimise my time on site. Can you recommend a suitable framework?
    A). Yes, see a typical flexible framework below. The key steps should be:-
    1. Stop and look - take photos of any problems or issues if possible using the link below
    2. Be friendly
    3. Ask open questions about the work e.g. What could go wrong? What would that look like?
    4. Challenge e.g. Why do you feel you have to work that way?
    5. Praise good behaviour and practice - take photos if possible using the link below
    6. Gain commitment to act

Top 10 HSQE Questions

  • 1. Does the site have access to the MyOCS?

  • 2. Are managers and staff aware of the Adverse Event reporting procedure?

  • 3. Have any adverse events or RIDDORs been fully investigated (ask to view investigation forms)?

  • 4. Are site specific and task specific risk assessments in place, current and signed?

  • 5. Have all staff received induction training?

  • 6. Is a training matrix and refresher training in place for all staff?

  • 7. For potentially hazardous machinery such as waste compactors, balers and shredders are designated staff fully trained and certified to use the machine?

  • 8. Are forms and documents in use of current issue and only downloaded from MyOCS?

  • 9. If we are responsible for waste removal on site do we hold copies of waste transfer notes or an annual waste transfer note (all fields must be completed to include the EWC and SIC codes)?

  • 10. For hazardous waste do we hold consignment notes with all fields completed?
