Toolbox Talk

  • After recent incidents regarding wrong trailers being removed from sites and incorrect paper work not being identified before departing, changes are being made to ensure all loads are checked correctly before leaving customer sites. These incidents are not acceptable and entirely preventable, Please follow the steps below.

  • 1. Pick up Chivas paperwork from approved point, moving forward drivers lines will not be left with security guards, instead they will be left in the traffic offices withe the drivers name attached to it.

  • 2. Check the Trailer number, and Destination from the traffic manager and that they correspond with the Chivas paperwork. If your concerned that the details do not match Do NOT move the trailer.

  • 3. Always check that you have correct trailer prior to coupling up. As part of your Circle Check the trailer must be checked, no excuse will be accepted for getting it wrong.

  • 4. Check the seals are correct number on the trailer.

  • 5. If everything is all correct, sign the Chivas paperwork as verified.

  • 6. If it is not correct, question and advise the traffic manager of the problem.

  • DO NOT SIGN the document if it is not correct

  • 7. Regardless of whether the gates to the site are open or not every driver will stop their vehicle and present their paperwork to the security guard.

  • 8. Both the security guard and driver will check paperwork.The security guard will add all relevant details onto the log sheet, ie. Time, Registration number, Trailer/Tanker number, Company, Drivers full details. If the tank is an export tank, both the driver and security guard must still check that a seal is present and that the export tank number corrisponds with paperwork. They should also check tank has been marked with correct ADR stickers.

  • 9. The security guard and driver will both physically check all tanker/trailer serial numbers and seal numbers.

  • 10. Only when both the driver and security guard are satisfied that the load and accompanying documentation are all in order, both will sign off on the log sheet.

Further Precautions

  • All drivers located an empty van must be instructed to open back doors and visually confirm it is empty. On no account should an assumption be made that a van is empty.

  • Any seal on a van must have matching paperwork and must be checked by driver.

  • If Chivas are working overtime a physical check must be carried out at the end of shift, if vans involved in overtime are being allocated for removal

Questions

  • If gates to customers site are open are you permitted to drive off site without checks?

  • If a driver couples a trailer for you are you required to check it is the correct trailer, etc.?

  • If a security guard waves you on indicating you don't require checking can you leave the site?
